In this pivotal role, you’ll need to handle confidential details with finesse and engage professionally with senior executives, board members, and vendors. Strong communication and organizational skills are essential, as is the ability to thrive under pressure while remaining resourceful and efficient. We’re looking for a self-starter who can navigate tasks with minimal direction.

As the Executive Assistant, you’ll serve as a vital link between the CEO and company stakeholders. The successful candidate must be able to handle highly confidential and critical details and interact comfortably and professionally throughout all organizational levels. The ability to work under pressure while maintaining a professional demeanor is a must while remaining resourceful and efficient. The Executive Assistant will be expected to be able to complete tasks with minimal direction and must be a self-starter. Here is a deeper dive into what the role looks like:

  • Be a highly visible member of the team and act as an ambassador of the company by building strong relationships internally and externally.
  • Proactively maintain calendars and daily schedules for the CEO and other members of the executive team, fielding and prioritizing requests that require attention to strategically leverage the executive’s time.
  • Handle communications for the CEO and connect with both internal and external parties with a high level of confidentiality, integrity and tact.
  • Serve as the Shareholder Liaison by communicating regularly with the company’s shareholders and serving as the point of contact for shareholder needs and questions.
  • Provide full administrative support including schedule management, travel arrangements, expense/invoice management for executives and key shareholders.
  • Coordinate logistics related to internal and external event/meeting planning including events at offsite venues.
  • Develop presentations, templates, graphics, and spreadsheets at the highest level; proofread, and edit presentations as needed.
  • Manage a variety of special projects with a high degree of autonomy when asked.
  • Manage a warm, welcoming environment for the organization and keep the executive and their team informed and aware of organizational issues, potential concerns, conflicts, etc.

The ideal candidate will have:

  • Past executive experience is strongly preferred (3-5 years)
  • Bachelor's degree preferred
  • Strong written and oral communication skills
  • Self-starter and detail oriented
  • Experience in the real estate or financial/investment industry preferred
  • Excellent communication and organizational skills
  • Ability to work independently and collaboratively as part of a team
  • A willingness to learn
