Administrative Assistant – Personal Assistant

Salary: Hourly ($15-$25) plus bonus potential (hourly rate based on experience)
POSITION DESCRIPTION
Business Owner/Family Office located in North Dallas is seeking an Administrative/Personal Assistant.
DAY-TO-DAY RESPONSIBILITIES
Serve as Executive Assistant to the Business Owner as well as Personal Assistant for family/house administration. Examples of responsibilities include:
- Provide administrative support for both business and household functions
- General clerical duties – maintaining Personal and Business calendar
- Answer and screen incoming telephone calls
- Assist with monthly bill payments and bank account reconciliation (Personal and Business)
- Maintain and update client and prospect contact records and mailing lists
- Complete new client documents and enter data into company software.
- Maintain file systems; scan correspondence and other records, keep filing current and accurate
- Manage incoming and outgoing mail
- Assist with and prepare written correspondence (Personal and Business)
- Research projects using online search tools
- Run errands including: shopping, pick up dry cleaning, local transportation for family members, etc.
- Schedule and supervise service providers Home and Office (e.g. schedule and be on site for CATV service call)
- Assist with Personal and Office social media content
- Coordinate and support Personal networking and Business marketing events
IDEAL CANDIDATE
An ideal candidate will be organized, thorough, and professional. They must be trustworthy, hard working, and intelligent with a willingness to learn, along with a natural ability to work well with others in a collaborative team environment. The successful candidate will be resourceful, have the ability to identify problems and opportunities, develop solutions, increase efficiency and generally support the administrative activity of the family/office.
REQUIREMENTS
- Must be highly organized, punctual, efficient, with an excellent attention to detail and follow-through
- Must be trustworthy
- Must be discreet and regard all personal and client data as confidential
- Must be proficient with PC computer skills (keyboard, mouse, basic computer functions and accessories, etc.)
- Knowledge of common social media platforms
- Ability to work independently while performing regular daily assignments
- Wisdom to ask for guidance when needed
- Flexibility to accept unscheduled projects and multi-task
- Excellent interpersonal and communication skills
- Must have dependable personal transportation and the ability to run errands
- Must be able to successfully complete a criminal background check.
PREFERENCES
- Education Level: Degree preferred, not required
- Knowledge of Microsoft Office (Excel, Word, Outlook, etc.)
WORK SCHEDULE
- Part-Time with some flexibility
- (75%) Business hours Monday through Friday with some (25%) evenings/weekend hours required based on current projects/event schedule.
- Availability to work some evening hours and/or weekends is required.
- Location 80-90% split between office and personal residence in North Dallas, Potential for 10-20% remote work depending on the specific project/task.
TRAINING
Training will be provided for any required software and equipment.
SCHEDULE AND COMPENSATION
We offer a collegial working environment in a small family office setting, a competitive hourly rate with performance reviews, and opportunities for merit-based hourly rate increases.
Part Time Schedule: Some evenings and weekends in addition to some business hours Monday through Friday.
Starting rate is $15-$25 based on experience with potential for bonuses.
