Mid-Continent Coal and Coke Company has 15 coke screening facilities and five carbon drying operations in North America. We have a network capable of shipping by truck, rail, barge, or vessel in quantities of 25 tons to 65,000 tons.

Job Description

Mid-Continent Coal and Coke Co. is currently seeking an Administrative Assistant. This is a full-time role (Monday-Friday 9A-5P) based at our Beachwood, OH office. Hybrid-remote work is available for this opening (1 day from home each week).

This position serves as the primary point of contact for our valued Customers and Suppliers trying to reach our Management, Sales, Finance and Accounting Team. This position requires strong communications skills and the ability to adapt to changing schedules and demands. The ideal candidate will be competent in prioritizing and working with little supervision.

Administrative support can include, but is not limited to presentation preparation, data analysis & entry, meeting scheduling and arranging, preparation and issuance of monthly status reports, booking and coordinating meeting and travel arrangements. The Administrative Assistant supports office staff by maintaining office supplies and working with building management on office maintenance items.

Responsibilities

  • Supports the preparation for all meetings including gathering the necessary data to complete the task through multiple avenues in the organization.
  • Leads the coordination of management meetings and completes all preparations for meeting arrangements.
  • Provides coordination and booking of travel arrangements, including travel arrangements for visiting guests, customers, and clients.
  • Manages internal and external correspondence including scanning and filing as necessary.
  • Maintains effective working relationships with all internal/external employees as well as external customers and clients.
  • Assists with scheduling of shipments and notifies territory manager or customers of arrival dates.
  • Collaborates with Sales Team to improve control and efficiency of traffic functions.
  • Assists and supports sales team with developing reports and tracking data as needed.
  • Provides administrative support including preparation, reconciliation and filing of T&E reports, scanning, and filing of correspondence.
  • Demonstrates sense of urgency and ability to act independently during completion of tasks.
  • Undertakes responsibility of general office operations and supports other duties as assigned.

Qualifications:

· Proven experience as an office administrator, administrative assistant, or relevant role.

  • Proficient in Microsoft Office applications including Outlook, Word, PowerPoint, Excel, etc.
  • Demonstrate professional communication in-person and over the phone when dealing with internal and external customers of the organizations.
  • Strong written and verbal communication skills, analytical ability, and excellent interpersonal skills.
  • Ability to work effectively independently and within a team.
  • High degree of confidentiality, discretion, quality, and professionalism.
  • Exhibits high degree of reliability and trustworthiness with an ethical approach.
  • Highly flexible and proactive in order to perform a variety of important sometimes urgent, confidential, and complex tasks with constantly shifting priorities.
  • Effective in working with people at all levels of the organization as well as external contacts, customers, suppliers, etc.
  • High school diploma or GED (College Degree a Plus)
  • 2 years of administrative experience

Compensation & Benefits:

  • Salary range: $42,000-$47,000 annually
  • 401(k) with company match up to 4%.
