We are seeking a full-time and in-person Executive Assistant to join our team. The ideal candidate will play a crucial role in supporting the smooth operation of our clinic and ensuring an excellent experience for our patients.
Responsibilities
- Maintaining provider and coordinators schedule and organizing task lists
- Scheduling and coordinating meetings and updating meeting calendars.
- Managing internal and external communication, screening and directing inquiries appropriately.
- Initiating authorization request with patient insurance for treatment or medication approvals- Managing office supplies and orders
- Maintaining clinic documents (electronic or physical files). Ensuring that important documents are readily accessible and confidential information is handled appropriately.
- Working directly with Clinical Coordinator/Clinical Operations Manager on projects or requests for the practice which may involve research, data analysis, and meeting preparation.
- Handling patient insurance information, paperwork and medical record requests
- Overseeing and maintaining clinic logs
Requirements
- Proven experience as a executive assistant or in a similar clinical role is ideal
- Strong organizational and multitasking skills
- Excellent communication and interpersonal abilities.
- Maintain strict confidentiality regarding sensitive information, including patient records, financial data, and internal communications.
- Proficient in basic computer applications
- Knowledge of medical terminology
