Job Overview:
We are seeking a highly organized and detail-oriented Office Assistant to join our team. The Office Assistant will be responsible for providing administrative support and ensuring the smooth operation of our office. This is a vital role in our organization, as the Office Assistant will be the first point of contact for visitors and clients.
Responsibilities:
- Greet and assist visitors, answering inquiries and directing them to the appropriate person or department
- Answer phone calls, take messages, and respond to emails in a professional and timely manner
- Perform general clerical duties, such as data entry, filing, photocopying, and scanning documents
- Maintain office supplies inventory and place orders when necessary
- Schedule appointments and manage calendars for staff members
- Assist with organizing meetings, including preparing agendas and taking minutes
- Handle sensitive information with confidentiality and adhere to HIPAA regulations
- Assist with billing and invoicing tasks as needed
Qualifications:
- High school diploma or equivalent required; additional certification in office administration is a plus
- Proven experience as an office assistant or in a similar administrative role
- Excellent organizational skills with the ability to prioritize tasks and meet deadlines
- Strong attention to detail and accuracy in data entry and record keeping
- Exceptional communication skills, both written and verbal
- Ability to maintain a professional demeanor in all interactions with clients, staff, and visitors
