MBP is Hiring an Administrative Assistant Near Richmond, VA

Overview

SUMMARY: 

Assists office and field team members and conducts administrative operation of the office.

Responsibilities

MAIN RESPONSIBILITIES:

  • Manages the office and day-to-day workflow.
    • Answers telephone and directs calls or assists caller as possible.
    • Greets visitors.
    • Keeps common areas neat and clean at all times.
    • Works closely with team members to ensure administrative tasks are completed correctly and in a timely fashion.
    • Processes mail and deliveries.
    • Ensures adequate office supplies are on hand and machines are in working order.
    • Maintains project files.
    • Responsible for drafting, proofreading, and self-checking of letters, reports, or other correspondences.
    • Supports the coordination of training sessions and travel logistics for team members.
    • Ensures team receives training as necessary in proper functioning or execution of equipment and procedures.
    • Assist with planning and coordination of area meetings and events.
    • Ensures a safe and secure working environment.
    • Acts as a liaison for proposal coordination.
    • Responsible for Vantagepoint database maintenance and assisting with Resource Planner for the Area.
    • Supports the team’s professional association involvement by processing membership applications, meeting attendance forms, announcements, and agendas.
  • Supports the activities of Project Managers.
    • Maintains schedules, schedule meetings, conference calls, and appointments.
    • Relieves managers of routine tasks.
    • Composes correspondences and signs correspondences, when requested.
    • Working with Project Managers as needed, negotiates with vendors for quality service and best price.
    • Maintains the security of confidential information.

ADDITIONAL RESPONSIBILITIES:

  • Performs monthly credit card and expense report reconciliations.
  • Participates in various committees.
  • Assists with Lunch-n-Learn Program.
  • Other duties as assigned.

Qualifications

EXPERIENCE QUALIFICATION: 

Minimum of four years experience in the administrative field. 

EDUCATION/KNOWLEDGE: 

High School Diploma or equivalent required. Knowledge of general office procedures. 

SKILLS AND ABILITIES: 

The Administrative Assistant will have demonstrated competence in the administrative field through approximately four years of experience. The Administrative Assistant will have training and demonstrated knowledge of all Microsoft Office Suite/365 computer programs. Ability to use logical thinking and personal judgment to perform a variety of office tasks that require special skills and knowledge. Able to follow instructions without close supervision. Must be able to speak and write clearly and accurately, plan own work and occasionally the work of others, interact with people, and change work activities frequently while maintaining a “can do” attitude.
