GENERAL SUMMARY/ OVERVIEW STATEMENT:
Under the direction of the Program Director of Physician Programs, the Project Coordinator of Policy will be responsible for project managing day to day activities related to the work of the Medical Policy Committees at both MGH and MEE and Clinical Policy and Records Committee at MGH, among other projects/initiatives. S/he will be responsible for facilitating the hospital-wide updating and flow of online clinical policies, protocols, guidance documents and forms, as well as maintain online policy manuals. S/he will work collaboratively with the Program Director of Physician Programs, other members of the team, and administrative and medical leadership.This position requires strong project management and communication skills and will provide an opportunity to contribute to the inner workings of physician and programs at one of the top academic medical centers in the country.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
Medical Policy Committee Management and Support
*Collaborates with MGH/MGPO Chief Medical Officer (CMO) to support the work of the MGH Medical Policy Committee.
*Collaborate with the MEE/MGH Associate Chief Medical Officer (ACMO) to 1) support work of MEE Medical Policy Committee and 2) communicate MGB system-wide policies.
*Works closely with the MGH/MGPO CMO and MGH/MEE ACMO to oversee monthly communication to front-line staff and senior staff about new and existing MGH/MGPO/MEE policies.
*Develops reports for senior leadership summarizing the work of the MGH, MEE, and MGB the Medical Policy Committee, highlighting potential areas of concern, as needed.
*Schedules, manages, and runs monthly Medical Policy Committee meetings for both MGH and MEE and is responsible for ensuring policies are reviewed in a timely way.
*Oversees an open comments process for new policies, as needed, which includes distributing policies via appropriate communications and receiving and organizing comments for the committee's review.
*Guides policy owners, as needed, on processes related to policy approval and changes.
*When vacancies arise, propose membership changes to the MGH/MGPO Chief Medical Officer and help onboard new members.
Clinical Policy and Records Management and Support
*Manage the flow of both new and renewal of clinical policies, protocols, guidance documents, and forms through our Clinical Policy & Record Executive Committee.
*Responsible for maintaining current policies in the Site designated policy system e.g. Ellucid, maintaining back-up copies in the event of a system outage and maintaining versioning in accordance with document retention policies retention policies to include:
oContinuous tracking of all document expiration and approval dates.
oCommunicating with document owners for updated versions.
oShepherding the drafts and owners through the tri-committee approval process.
oReporting and troubleshooting policy platform system issues or concerns
oTracking all document and form requests from owners and communicating items to the appropriate Executive Committee Chairs for follow up until resolved.
oAssisting with development of agendas and topic prioritization.
oSupporting the committee with other administrative tasks, communication and system support.
Support of MGPO Torchiana Fellowship Project
*Collaborate with project manager to run the call for applications, communicate with fellows, and reimbursement for HSPH, among other peripheral tacks.
MGPO Election Process
*Assist with all stages of the MGPO Elections process for three MGPO Committees: the MGPO Board of Trustees, the MGPO Executive Committee, and the Frigoletto Committee. This includes:
oPrep and organize meeting materials, communicate with physicians and leadership, schedule and staff meetings, and other tasks as required.
Project management support for additional MGPO special projects as needed.
SKILLS & COMPETENCIES REQUIRED:
EXPERIENCE:
Minimum 3 years of related work experience required. Demonstrated experience in project management.
Preferred: 1-3 years of experience in policy oversight and administration.
SUPERVISORY RESPONSIBILITY
WORKING CONDITIONS:
Hybrid work model. When in office normal working conditions; office setting.
