HilleVax is a clinical-stage biopharmaceutical company focused on developing and commercializing novel vaccines. Our initial program, HIL-214, is a virus-like particle (VLP) based vaccine candidate for the prevention of moderate-to-severe acute gastroenteritis (AGE) caused by norovirus infection. Objectives / Overview:
The Development Strategy Project Coordinator will work with a cross-functional team across R&D, including but not limited to, Clinical Development, Clinical Operations, and Clinical Assay development and other sub-teams within CMO. This individual will understand overall R&D-related activities and track CMO key activities consistently in detail. The Project Coordinator will contribute to developing and sustaining effective Project Management business processes within CMO Team, while coordinating and managing the R&D-related activities.
Responsibilities:
Project Management Support


  • Support overall tasks assigned to CMO Project Management Team
  • Effectively support coordinating cross-functional CMO Team.
  • Assist in developing a consistent methodology to support CMO Team.
  • Support building project schedules/timelines capturing all the relevant activities to achieve project milestones against corporate- and program-level goals.
  • Utilize project tracking tools to ensure timely delivery of CMO objectives.
  • Monitor project progress and identify risks and opportunities to timeline, budget or scope.
  • Support coordinating CMO program plans with R&D sub plans and regulatory plans.
  • Develop and maintain supportive documents/processes to help CMO Team for the day-to-day activities.
  • Consistent meeting management (agendas, desired outcomes, read-ahead documents, minutes, etc.).
  • Assist in preparing documents/materials for key discussions and meetings.
  • Support developing and managing program data in tools that feed into a portfolio view.
  • Anticipate, escalate and resolve issues as appropriate.

Document/System Management Support
  • Support the day-to-day activities related to document control management, including: Filing documents on site, retrieve and store historical information at retention archives as requested.
  • Support processing controlled documents in electronic data and document management system, to support organizing and grouping documents in a structured manner, editing and formatting of documents, QC and any other administrative task.
  • Maintain the repository of documents which are in the scope of audit.
  • Manage document management system and any other systems assigned as a system administrator.
  • Support continuous improvement of quality processes and systems with the objective of achieving compliance to current and emerging regulation.

Education, Experience & Skills:

  • Bachelor’s Degree with 3-5 years of relevant experience within pharmaceutical industry.
  • Good knowledge of project coordinative/ project management skills (Project Management certification is a plus).
  • Good organizational, written and verbal communication skills.
  • Strong ability to work in a structured way with a keen eye for detail.
  • Good interpersonal skills, including clear, succinct and timely communication and proven ability to foster important relationships with customers and key stakeholders.
  • Good knowledge of team dynamics, structure, roles and responsibilities.
  • Ability to work effectively in a highly matrixed organization, both independently and in a team focused environment.
  • Able to work in a fast paced environment with demonstrated ability to simultaneously manage multiple competing tasks and demands.
  • Strong ability to embrace ambiguity, complexity and change.
  • Extensive experience with Microsoft Office (especially Excel, PowerPoint and Project), and various IT technologies, e.g Webex, MS teams, SharePoint, OneDrive
Travel, Physical Demands & Work Environment:
  • Travel domestic and international – less than 10%.
  • This position is based in Boston, MA.
