Martinez Cleaning LLC is Hiring an Office Assistant Near Albany, NY

Martinez Cleaning is looking for a Full-Time Office Assistant to help with daily tasks ranging from screening calls/emails to managing inventory and office documents. For this job, you can expect to work 40hrs a week at regular office hours on site. Small companies give you the advantage of learning a lot of job functions in a short period, making for a well-rounded employee. During this time of growth it will also be an opportunity to learn this position and the potential to continue forward with other positions such as Office Manager, Operations Manager or even into our Sales Department.

Minimum qualifications:

  • Associate Degree or Work Experience Equivilant (please have Reference ready)
  • Work Experience 2 Years (Work Specific)
  • Valid Driver's License or dependable transportation to OfficeThe ideal candidate will be able to maintain our operation system to support Martinez Cleanings’ needs but be Proactive in identifying areas of improvement and working with our teams to further our day to day success. The candidate should be comfortable multitasking and working cross-functionally with different business functions. With our growing business and team, the ideal candidate will be technologically savy as we continue to integrate multiple digital platforms to handle our day to day organization and tasks.Background in or knowledge of the Cleaning Service industry is a plus. Bi-ligual in Spanish is a plus.Responsibilities Include but are not Limited to: Standard Office Duties:
  • Screen all calls

o Incoming calls from new or current clients
o Incoming calls from staff (most will be in Spanish) o Assist and transfer as needed

  • Maintain our Supplies

o Office Inventory (Physical and Digital)
o Direct Ship to Client
o Fulfill Staff Requests
o Organize and Maintain weekly Supply stream

  • Supply Buyer

o Maintain quantitieso Seek out best options on the marketo Cross reference price changes

  • Handling Company Documentso Assist in paperwork from various departments

o File documents accordingly both physical and digitalBusiness Assistance:

  • Asissting Business Manager with document prep as needed o Prepping new accounts
  • Implementing new procedures or amending current ones
  • Assisting with schedules, appointments using our online calendar and booking travel asneeded
  • Communicating issues/announcements with employees and Supervisors as needed
  • Documenting Manager meetingsOperations Assitance:
  • Assisting with Onboarding o Paperwork Prepo Proof read

o Assist new staff as needed
o File documents accordingly both physical and digital

  • Assisting with Project Prep

o Project Documentation Prep
o Scope of Work Prep
o Managing Supply Inventory with new ProjectsOther Duties as Assigned Qualifications

  • Proficiency with digital mediums, almost all tasks will require the use of a computer
  • Strong organizational and communication skills (we love open communication andworking as a team!)
  • Strong ability to multitask
  • Comfort working with multiple groups within the business
  • Proficient in Spanish language (priority is reading and writing)

Job Type: Full-time

Pay: $20.00 per hour

Expected hours: 40 per week
