NYS Higher Education Services Corporation is Hiring an Office Assistant 1 (Temp / Hourly) Near Albany, NY

FILING DEADLINE: April 19, 2024

JOB TITLE: Office Assistant 1

SALARY GRADE: NS

NEGOTIATING UNIT: CSEA

SALARY: $17/hourly

APPOINTMENT TYPE: Temp/Hourly

JURISTICTIONAL CLASS: Competitive

WORK LOCATION: Albany, NY

WORKING HOURS: 8:00AM - 5:00PM

TRAVEL PERCENTAGE: 0%

TELECOMMUTING INFORMATION: Initially positions will work full-time in the office and a hybrid telecommuting schedule of up to 50% remote work can be discussed with the hiring manager during the interview.

  • Be able to communicate efficiently verbally and in writing
  • Offer constructive feedback and provide suggestions to improve current procedures
  • Using the skills above would allow new staff to research and resolve account issues.

DUTIES DESCRIPTION:

DESCRIPTION OF JOB DUTIES:

Duties include but are not limited to:

1. Monitor shared email boxes for correspondence and documentation.

2. Draft well-written email responses to inquiries from students, parents, college administrators and HESC staff regarding award status, issues with documentation, and/or to request additional information.

3. Ensure all documentation is received by the applicable deadline, is complete, includes signatures and meets program requirements.

4. Use databases as needed to validate the student meets the program eligibility criteria and Process documentation.

5. Save documents in appropriate shared folders and database. Update individual student records for grant and scholarship programs based on supplemental documentation received.

6. Maintain spreadsheets and databases to catalog documentation and status

7. Make eligibility determinations based on established criteria for each grant and scholarship program and update the appropriate database with the student’s status.

8. Use database to look up student account records and status as requested.

9. Route emails as needed to other business units and escalate issues to supervisor.

10. Perform follow up activities to determine status and close out emails.

11. Assist with other tasks as assigned.

12. Perform other duties as assigned.

Job Type: Full-time

Pay: From $17.00 per hour

Expected hours: 37.5 per week
