Executive Assistant

The executive assistant provides high-level administrative support to company executives by conducting research, preparing reports, handling information requests and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings for executives.
Administrative Support Excellence:
  • Serve as the backbone of administrative functions for our Managing Partners, handling communications, travel coordination, calendar management, and expense processing.
  • Masterfully manage and maintain calendars, interacting with internal and external executives to coordinate meetings with precision.
  • Independently create, edit, and prepare reports and presentations, demonstrating meticulous attention to detail and a keen understanding of company policy.
Communication and Liaison:
  • Act as the primary point of contact for our executives, skillfully managing calls, messages, and correspondence.
  • Review voicemail and emails, responding effectively in the absence of the executives.
  • Facilitate smooth communication between executives and various stakeholders, always ensuring clarity and professionalism.
Meeting and Event Coordination:
  • Schedule and organize complex activities such as meetings, travel, conferences, and departmental events.
  • Attend meetings as required, capturing accurate minutes, and distributing relevant materials promptly.
  • Take charge of corporate event organization and fundraising initiatives, showcasing your ability to multitask and manage priorities effectively.
Document Preparation and Management:
  • Produce high-quality documents, including correspondences, memos, charts, and business plans, ensuring accuracy and clarity.
  • Maintain meticulous filing systems, both electronic and paper-based, to support corporate initiatives and record-keeping.
Confidentiality and Discretion:
  • Handle confidential and sensitive material with the utmost integrity, always maintaining strict confidentiality.
  • Exercise good judgment in prioritizing work, planning, and organizing tasks amidst interruptions, showcasing your professionalism and reliability.




Required Knowledge, Skills, and Abilities (KSAs):
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Additionally, the requirements listed below are representative of the knowledge, skill and/or ability required.
  • Three to five years of Executive level administrative assistance experience
  • Mastery of Office Suite applications to include Excel, Word & PowerPoint and various software applications as needed.
  • Ability to interface with all levels of leadership, internally and externally.
  • Excellent calendar management skills including scheduling complex senior level meetings with challenging logistics.
  • Excellent verbal and written communication skills
  • Experienced in handling confidential and sensitive material.
  • Ability to meet negotiated deadlines, anticipate needs, demonstrate initiative, and independently complete tasks.
  • Must utilize expert secretarial skills to create quality documentation, acting independently with minimal supervision.
  • Ability to use good judgment in setting work priorities, planning and organizing workload during interruptions.
  • High degree of personal integrity, discretion, and confidentiality
  • Ability to handle multiple projects with continuing changing priorities.
  • Must have reliable transportation & valid state drivers license.
