Job Description: Kilwins Project Manager
Company/Locations: Remote, primarily supporting the FL based market.
Reports to: Director of Project Management
Supervises: N/A
FLSA Status: Salaried/Exempt
Job Summary
The Project Manager for a Kilwins store build is responsible for all store build-out activities that are required to efficiently and cost-effectively open a store. The Project Manager for a franchisee build is responsible to ensure the franchisee meets the requirements of a Kilwins build. They must clearly communicate and document all build-out activities both verbally and in written form. From the time a lease and Franchise Agreement is signed until the store is completed, the Project Manager is responsible for the timely completion of the project.
The Project Manager is required to regularly and customarily exercise discretion in accomplishing store planning, construction, and fixturing. The Project Manager must have a clear understanding of the Kilwins operating system and the ability to effectively use the system while helping individual franchisees open their stores. The Project Manager will assist the development team in the site review analysis and help determine the feasibility of establishing a Kilwins in the location.
Essential Functions
  • Personally represents Kilwins Core Values, Core Purpose, Core Operating Standards, and Brand Promise.
  • Provide integrity, honesty, and knowledge that promotes the culture, values, and purpose of Kilwins Brand.
  • Works cooperatively with franchisees to ensure the Kilwins proven model is followed to increase sales and profitability.
  • Successful fulfillment of The Kilwins Brand standards within all stores.
  • Develop project schedule, communicate with franchise relations support team, and provide input on establishing a tentative new store opening date.
For a Franchisee build a Project Manager will:
a. Provide guidance as necessary
b. Obtain and administer project insurance
c. Ensure store brand standards are clearly communicated to the franchisee
d. Create preliminary floor plan
e. Approve all franchisee build plans and ensure the franchisee meets the requirements of a Kilwins store
f. Pending a Kilwins Equipment Agreement, order and track equipment, coordinate delivery and installation
g. Require weekly progress reporting from the franchisee and communicate internally
h. Provide a final walkthrough of store confirming the store is ready for the opening team
For a Kilwins build a Project Manager will:
a. Execute store construction, architectural and engineering, and equipment agreements with Franchisee.
b. Ensure franchisee payments are made per the established payment schedule and Kilwins maintains financial leverage with hired contractors
c. Coordinate with area developer, landlord, and local municipalities to ensure a smooth transition to the construction phase
d. Create floor plan, specify fixtures and equipment, provide interior and exterior finishes and signage plan
e. Hire, supervise and coordinate an Architect and General Contractor
f. Obtain all permits necessary for the store build and monitor code compliance
g. Supervise all store build-out activities
h. Order and track equipment, coordinate delivery, and installation
i. Obtain and administer project insurance
j. Ensure all aspects of project conforms to lease and legal requirements
k. Quality Control of all aspects of the project
l. Develop and meet budgets and timelines
m. Provide weekly project updates to franchisee and franchise relations team
n. Coordinate final cleaning and preparation for acceptance of inventory
o. Acceptance and sign-off on the delivery of finished store from the contractor
p. Provide a final walkthrough of store confirming the store is ready for the opening team
8. Train franchisee on equipment operation and preventative maintenance.
9. The Project Manager also provides remodeling and updating assistance and ongoing construction support to existing stores.
10. The Project Manager will also be assigned local projects involving KCF and KQC facilities as they become necessary.
Core Competencies/Skills/Education Needed
  • Strong operational skills in design, architectural drawings, permitting, and construction
  • Strong leadership skills with the ability to coach and mentor others
  • Ability to work well with others, be a good listener and follow as well as give direction
  • Must be a role model with good work ethic
  • Must have exceptional written and verbal communication skills in the English language
  • Ability to manage in a fast-paced environment and manage multiple projects simultaneously
  • Knowledge and ability to use all online and support systems
  • Strong interpersonal, organization, planning, and problem-solving skills
  • Ability to handle confidential and sensitive information
  • Knowledge of proper food handling and sanitation procedures necessary
  • Experience in AutoCAD 14
  • Experience with QuickBooks
  • Five to ten years of previous project management experience necessary.
  • College degree preferred.
  • Previous franchising experience preferred
  • Proven track record of relevant accomplishments
  • Proficient in Microsoft tools such as Outlook, Excel, Word, and Project
Physical Requirements/Work Environment
  • Must be able to work in an office environment
  • Must be able to travel to stores as needed to support franchisees
  • Must be able to occasionally lift 50 pounds
  • Must be able to travel by aircraft and drive an automobile and have a valid driver's license
