KEY SCHOOL is Hiring a First School Administrative Assistant (2024-2025) Near Annapolis, MD

Full-time, 12 months, Non-Exempt

Key School is seeking a First School Administrative Assistant for the 2024-2025 academic year. The successful candidate will have strong collaborative skills, a desire to support the daily operations of a school, excellent organizational skills, effective communication skills, and the flexibility to navigate the daily needs of the First School community.

Daily Responsibilities:

  • Support the faculty, staff and Division Head as needed
  • Maintain student record system (Senior Systems) data entry and reports
  • Maintain student attendance records
  • Coordinate email communications to families
  • Maintain information on divisional budget
  • Inventory and order office/classroom supplies as needed
  • Support Health Office with certified medication technician training (training provided)
  • Assist with arrival and dismissal duty
  • Provide clerical/administrative support as needed

Periodic Responsibilities:

  • Manage start and end of trimester reports in Senior Systems
  • Set-up classes and courses in Senior Systems
  • Monitor and maintain clerical equipment (copier, laminator, etc.)
  • Set-up and manage family/teacher conference scheduling Coordinate field trips and bus requests
  • Coordinate set-up for divisional events (family/teacher conferences, Back-to-School night, etc.)
  • Serve as a short-term classroom substitute as needed

Ideal Candidate:

  • Strong organizational, communication and collaborative skills
  • Strong writing and editing skills
  • The ability to work independently and be self-motivated
  • A demonstrated commitment to confidentiality and professionalism
  • Solid technical skills in Google Workspace and the ability to use the school’s database system, Senior Systems
  • A high level of cultural competency
  • Friendly, patient and calm disposition, especially with children
  • Demonstrated ability to handle multiple tasks at once with attention to detail

Qualifications:

  • High School Diploma or GED and two years of office experience required
  • Bachelor’s Degree preferred
  • Organized and systematic thinker

Daily desk work, including significant amounts of telephone and computer time; as part of daily routines, the ability to move around a mid-size campus with uneven pavement and manage stairs; frequent walking inside and outside responding to campus issues and/or checking on various departmental progress.

Technical Competencies (non-instructional positions):

Key is a Google Workspace for Education school. All candidates should be proficient in common productivity software and hold a solid understanding of cloud-based storage and file-sharing platforms, including applications such as Google Docs, Google Slides, Google Sheets, and Google Drive. Candidates should be able to efficiently manage their email and schedule using Gmail and Google Calendar. They should also have the ability to use and perform basic troubleshooting on common workplace technology such as printers, copiers, and projectors. Proficiency in virtual communication tools like Zoom or Google Meet is a plus.

Work Schedule/Travel:

Occasionally, there may be business and school functions that will require your presence to work flexible hours, including nights and/or weekends.
