KEY SCHOOL is Hiring a Middle School Administrative Assistant (2024-2025) Near Annapolis, MD

Full-Time, 12 months, Staff Non-Exempt

Key School is seeking a full-time (12-month) Middle School Administrative Assistant for the 2024-2025 academic year. This position will provide direct support to the Middle School office, faculty, students, and families to ensure the effective operation of the Middle School.

Job Responsibilities:

Daily Responsibilities

  • Support the Middle School Head by maintaining calendars and appointments.
  • Operate security doors and maintain security protocols.
  • Coordinate email communications to families through Senior Systems.
  • Support the Middle School attendance process by checking emails, voicemails, and fielding phone calls regarding student attendance.
  • Collect and prepare Daily News announcements each day.
  • Assist with break/recess duties.
  • Facilitate carpool at school dismissal.
  • Oversight of the faculty workroom.
  • Provide clerical/administrative support as needed.

General Responsibilities

  • Maintain spreadsheet of the Middle School budget.
  • Support faculty with communication and ordering supplies.
  • Provide administrative support for grade reports and record keeping.
  • Maintain trimesters and records in Senior Systems with support from IT.
  • Maintain Middle School bulletin boards in common areas.
  • Provide administrative support for faculty meetings.

Periodic Responsibilities

  • Coordinate family/teacher conference scheduling software with IT and communication with families and faculty.
  • Support office co-worker responsibilities as needed.

Annual Responsibilities

  • Support faculty in ordering their yearly supplies by setting up profiles under a school account
  • Schedule faculty evaluations and class visits with the Middle School Division Head and Director of Curriculum and Instruction.
  • Develop and finalize the Middle School schedule with input from the Middle School Division Head and scheduling team.
  • Import all scheduling data into Senior Systems prior to the start of school and produce printed schedules for teachers and students.
  • Provide organizational support for special division and community events such as Back-to-School-Night, Open House, and Grandparents’ Day.
  • Provide administrative support for the opening of school.

  • A demonstrated commitment to confidentiality and professionalism
  • Solid technical skills in Google Workspace and the ability to use the school’s database system, Senior Systems
  • A high level of cultural competency
  • Friendly, patient and calm disposition, especially with children
  • Demonstrated ability to handle multiple tasks at once with attention to detail

Qualifications:

  • High School Diploma or GED and two years of office experience required
  • Bachelor’s Degree preferred
  • Organized and systematic thinker

Daily desk work, including significant amounts of telephone and computer time; as part of daily routines, the ability to move around a mid-size campus with uneven pavement and manage stairs; frequent walking inside and outside responding to campus issues and/or checking on various departmental progress.

Technical Competencies:

Key is a Google Workspace for Education school. Candidates should be proficient in using Google applications, have a solid understanding of cloud-based storage and file-sharing platforms, and efficiently manage email and scheduling using Gmail and Google Calendar. They should be proficient in virtual communication tools such as Zoom or Google meet and have basic troubleshooting skills to resolve common technical issues that may arise in the classroom.

Work Schedule/Travel:

Occasionally, there may be business and school functions that will require your presence to work flexible hours, including nights and/or weekends and travel outside of Annapolis.
