JOB SUMMARY

The primary function of the Receptionist is to coordinate all communications with the public, and assist the Parts/Service Department with its record-keeping and paperwork.

DUTIES AND RESPONSIBILITIES

1. Answers all incoming phone calls, directs them to the appropriate party or takes a message.
2. Greets members of the public and directs them to the appropriate party or facilitates their requests.
3. Oversees service and maintenance on telephone system, postage meter, and other office equipment.
4. Responsible for knowing the whereabouts of all employees during the course of business hours.
5. Assists Sales employees in the completion of necessary paperwork, travel arrangements, documentation.
6. Maintains a courteous and efficient image in dealing with the public.
7. Responsible for reconciling cash drawer. 
8. Prepares and delivers bank deposits. 

QUALIFICATIONS
Ability to read and comprehend instructions and information.
High school diploma or the equivalent.
Must type 50 wpm, and be able to efficiently operate telephone switchboard.
Familiarity with trucking industry, computer systems, ten-key calculator, and large data bases.
Professional personal appearance.
Excellent, friendly communication and organization skills.

WORKING CONDITIONS

The Receptionist works indoors, primarily at a desk but also moving about the dealership facility to communicate with the dealer, managers, employees and customers. Excellent verbal and visual communication skills required. S/he must bend, stoop, kneel, crouch, reach and feel. Will be exposed to noise, vibration, dust, paint and other hazardous and nonhazardous materials. Must spend extensive periods answering complex telephone switchboard system and routing calls throughout the dealership, tracking the whereabouts of all dealership employees. Working knowledge of Windows 95, WordPerfect, ten-key, 50 wpm typing, and inputting data on Video Display Monitor.
