Job Description: We are seeking a detail-oriented and proactive Front Office Coordinator to manage the day-to-day operations of our firm. The ideal candidate will excel in multitasking, have strong organizational skills, and possess excellent communication abilities.
Responsibilities:
· Reception duties, including greeting visitors, answering and directing phone calls, and handling inquiries.
· Order supplies and ensure adequate stock levels.
· Manage office maintenance requests, including office upkeep and copier/postage meter maintenance.
· Handle incoming and outgoing mail.
· Calendar management, scheduling calls and meetings as needed.
· Run errands, including grocery shopping, Amazon returns, UPS drop-offs, scheduling FedEx pickups, and purchasing office supplies.
· Assist with catering lunches and ensuring hospitality during in-office depositions and trial preparations.
· Support accounting by scanning receipts, matching them to bank statements, scanning and uploading invoices and checks, and updating balances from vendors.
· Maintain office cleanliness and organization
· Provide administrative support, including assisting paralegals with file scanning, document creation, and other tasks as needed.
· Track Continuing Legal Education (CLE) credits.
· Assist in trial preparation, including ordering supplies, assembling exhibit binders, and providing assistance with PowerPoint presentations.
· Support marketing efforts by dropping off gifts with branded marketing materials and business cards at other offices, mailing branded materials for company reviews, and coordinating holiday gifts/cards.
· Maintain a professional appearance and demeanor at all times.
· Handle confidential and sensitive information with discretion and confidentiality.
Qualifications:
· Previous experience in Office Management.
· Legal assistance experience preferred.
· Certified notary preferred.
· Strong organizational and multitasking abilities.
· Excellent communication and interpersonal skills.
· Proficiency in Microsoft Office suite and other relevant software.
· Ability to work independently and as part of a team.
· Attention to detail and problem-solving skills.
