Primary Functions & Job Specifics
1. Set up client and vendor accounts in QuickBooks
2. Enter vendor/subcontractors’ invoices in QuickBooks in a daily basis for Design Department and Ivey Punch.
3. Enter in QuickBooks purchases made by credit card for Design Department and Ivey Punch
4. Prepare estimates to client (Ivey Punch and Ivey Design) in timely manner according to company manager, operation department, and coordinator requests.
5. Prepare Application payments request (G702, G703) to bill client and follow up.
6. Process payments and apply them to proper account and invoices; send payment confirmation to the client
7. Track and post bad debt
8. Research and resolve client complaints and any inaccuracies; analyzes and reconciles outstanding account balances.
9. Assist to the departments staff as needed
10. Prepare payable and checks in a weekly basis for Ivey Punch and Design Department
11. Supervise Ivey Design Account Payable ensuring proper documentation is in hand, amounts are correct, and releases are received previous deliver payments.
12. Supervise and assure reimbursement request are processed by account payables.
13. Processing, routing, and answering incoming and outgoing mail in a daily basis.
14. Preparing balance statement to clients and follow up on account statements
15. Perform reconciliation for bank accounts and credit card for Ivey Design, Design Department, and Ivey Punch in a monthly basis.
16. Prepare cash flow in a weekly basis previous print payable
17. Prepare and make payroll for helper paid by zelle in a weekly basis
18. Request and verify that each subcontractors provide the W-9
19. Maintaining professional communication with clients and vendors
20. Performing other administrative supporting tasks including but not limited to filing, organizing, drafting, and proofreading correspondence.
Responsibilities
1. Auditing clients and vendor accounts fixing any discrepancies or gaps.
2. Auditing Projects accounts (Income Vs. Expenses) resolving any gaps.
3. Preparing Cost Project Control for each client
4. Review, verify and control that new Purchase orders are included in budget.
5. Prepare Change Orders and bill clients per Operation Department request
6. Control credit card expenses by project
Job Qualifications and Requirements
1. Education: Associates degree in Accounting
2. Experience: 3-5 years of related experience using QuickBooks; or equivalent combination of education and experience
3. Very good knowledge of English (spoken and written)
4. Excellent verbal and written communication skills
5. Time management
6. Excellent judgment and decision making
7. Bilingual preferred
