Are you ready to set sail on a creative journey like no other? At Windstar Cruises, we're seeking a visionary Creative Operations Manager to lead creative project management and steer our in-house creative team towards new horizons. You will play a pivotal role in overseeing the operational aspects of our creative team. You will be responsible for managing the workflow, trafficking projects, reviewing job requests, and supporting the team in planning and executing productions.

This position requires strong organizational skills, attention to detail, and the ability to thrive in a fast-paced environment. This position is based in Miami with a hybrid office model.

Responsibilities

Resource Allocation and Planning

  • Coordinate the flow of projects through the creative team, ensuring timely delivery and adherence to deadlines.
  • Assess available creative personnel against current workload, developing priorities and timelines that align with business needs and project goals.
  • Assign tasks to team members based on workload, skill sets, and project requirements.
  • Implement and maintain project management tools and systems to streamline workflow and facilitate communication.

Traffic and Workflow Optimization

  • Evaluate incoming job requests from various departments or clients, ensuring clarity, feasibility, and alignment with strategic objectives.
  • Collaborate with stakeholders to gather necessary information and establish project parameters, including timelines, budget, and deliverables.
  • Provide feedback and guidance to requestors as needed to refine and clarify project briefs.
  • Oversee creative workflows and processes, continuously seeking opportunities to enhance efficiency and productivity while prioritizing projects based on business needs.

Communication and Collaboration

  • Foster ongoing clear communication and relationship building with client teams to ensure a smooth and transparent working relationship, facilitating the delivery of creative work that exceeds expectations.
  • Cultivate a culture of collaboration within the creative team and across departments, ensuring alignment with high business needs and project priorities.
  • Clearly communicate project scope, timing and requirements to multiple stakeholders across different departments and teams, ensuring alignment and understanding of high-priority projects.

Production Planning:

  • Work closely with creative leads and producers to plan and schedule productions, including shoots, recordings, and design sessions.
  • Assist in resource allocation, including booking talent, securing locations, and acquiring necessary equipment or materials.
  • Anticipate and resolve logistical challenges to ensure smooth execution of productions.
  • Collaborate with FIT and Charter & Incentive sales teams to identify and produce print and digital collateral materials.

Vendor Management

  • Lead vendor onboarding, ensuring all required documents are collected and verified.
  • Manage vendor invoice submission, tracking, and coding for timely processing and adherence to payment terms.

Qualifications

  • Minimum of 5 years of experience in a creative operations role within an agency or in-house creative team.
  • Bachelor's degree in marketing, communications, business, or related field.
  • Demonstrated experience in project management, traffic coordination, and production planning.
  • Excellent organizational and time-management skills, with the ability to prioritize and multitask effectively.
  • Strong communication and interpersonal skills, with the ability to collaborate cross-functionally and communicate clearly with team members and stakeholders.
  • Proficiency in project management software and tools, such as Smartsheet/Asana.
  • Familiarity with creative software and tools is a plus (Adobe Creative Suite, Final Cut Pro, etc.).
  • Attention to detail and a commitment to delivering high-quality work on time and within budget.
