Innovative Technologies is Hiring a Junior Administrative Professional Near Washington, DC

Innovative Technologies Corporation (ITC) is seeking a qualified and experienced Junior Level Administrative Professional to provide contractor support services for the Office of Information Management, Commandant (CG-61), Directives and Publication Division (CG-612). Requirements include bachelor’s degree and NACI (unclassified).

RESPONSIBILITIES

TASK One: Directives/ALCOASTS

  • Provide support for review and approval of CG Directives and ALCOASTS.
  • Understand the Directives Clearance process, and the ALCOAST policy and release procedures.
  • Ensure that USCG manuals, instructions, general messages, and publications are properly formatted using MS Word.
  • Ensure all clearance documentation is complete and electronically filed on the Coast Guard Network (CGOne) for retention.
  • Assist publication originators with the clearance process and proper formatting of documents.
  • Produce a quarterly Directives Publications and Reports Index (DPRI) for signature and production.
  • Create, route and review ALCOASTs, ACNs, and CCNs and post to CGPortal and the USCG public website.
  • Ensure that ALCOAST, ACN, and CCN type messages are properly formatted and have been reviewed and approved by appropriate offices in accordance with the CG-612 ALCOAST/ACN clearance process.
  • Ensure that all approvals and published copies of ALCOASTs, ACNs, and CCNs are electronically filed to CGOne.
  • Read, understand, and use The Coast Guard Directives System, COMDTINST M5215.6 (series) to create a commandant directive.
  • Become familiar with the entire concurrent and sequential clearance process and will adjudicate any comments provided during the review process with federal staff.
  • Ensure that all Directives comply with accessibility requirements covered by Section 508 as defined in the Revised 508 Standards published by the Access Board.

TASK TWO: Daily Tasks

  • Monitor shared email accounts and assist with daily activities of Directives, non-directives, DODIs, Joint Service Regulations, Operating Facility Change Orders (OFCO), ALCOASTs, ACNs, and CCNs for review and routing.
  • Review and validate the final adjudication of the comment matrix provided by the sponsor.
  • Provide support to the USCG by updating CG mailing addresses printed in the Standard Distribution List (SDL).
  • Monitor shared email accounts and file Change of Mailing Freight, and Billing Address forms in e-folders and use this information to help create the SDL.
  • Coordinate ALCOASTs, ACNs, and CCNs in the shared email folder and move approved documents to the appropriate electronic folder for sponsor notification of pending expirations, send Directives Review Officer (DRO) notifications in a calendar invite and file all correspondence in e-folders daily.
  • Maintain a case file for all Directives that are in the concurrent clearance process and file all correspondence related to the review and approval of Directives in the appropriate case file.

TASK THREE: Tech Support

  • Navigate all areas of Coast Guard Directives System as well as be proficient in Adobe Acrobat and Microsoft Office Suite.
  • Navigate all locations of CG Directives and Forms, including network servers, intranet, Internet, and CG Portal, as well as be able to locate archived messages.

QUALIFICATIONS

  • Two years of experience in USCG, Department of Defense, or Department of Homeland Security Directive maintenance and distribution to include work of substantial similarity to the work represented in the requirements document.
  • Knowledge of how to list references appropriate for policy documents. Experience with listing references in military policies preferred.
  • Extensive experience with Microsoft suite of office software.
  • Knowledge of Section 508 requirements (experience preferred).
  • Some customer service experience – interoffice/interagency preferred.
  • Some experience maintaining work status data and creating work status reports.

Job Type: Full-time

Pay: $50,000.00 - $60,000.00 per year
