Job Description SUMMARY A brief description of the primary purpose of this job. Responsible for various administrative duties within the accounting department, primarily with respect to accounts payable. Responsible for the daily a dministering of purchase requisitions and expense reports. Supports the AP specialists with invoice processing and vendor maintenance.
KEY PERFORMANCE INDICATORS (KPIs)
  • Process daily purchase requisitions efficiently and accurately with limited errors.
  • Administer the expense reporting system and process daily expense reports efficiently and with limited errors.
Essential Functions Primary/major job responsibilities that will be performed by this job.
  • Receives purchase order/requisition documentation, reviews for accurate account coding, routes for approvals and maintains records
  • Administers the travel and expense reporting system in adherence to company policies and provides support to employees regarding travel and expense procedures
  • Facilitates the preparation and tracking of internal and external approval documents, including issuing control numbers and ensuring timely communication and follow-up.
  • Participates in the development and implementation of administrative standards, policies and practices for the department.
  • Supports the Accounts Payable Specialists with various processes such as following up on discrepancies, reconciling vendor statements, and maintaining vendor files.
  • Corresponds regularly with purchasers, receiving and other departments as related to purchase requisition and expense processing.
  • Ensures compliance with company policies and procedures
  • Performs other administrative duties within the accounting department.
Education & Experience The minimum education and experience required to successfully perform the essential functions. Preferred requirements can also be included in this section. Associate degree in accounting or equivalent work experience. Accounts payable experience is a plus. Experience with Microsoft Office applications required.
Knowledge & Skills Skills, abilities, or special licenses needed to perform the job (software, professional certifications, drivers’ license, languages, etc.)
  • Solid computer skills with working knowledge of Microsoft Office applications
  • Basic understanding of accounting principles, including chart of accounts
  • Excellent problem-solving skills and the ability to escalate matters when needed
  • Good written and verbal communication skills
  • Strong attention to detail and accuracy
  • Excellent organization skills
  • Ability to collaborate with various functional areas
  • Adaptability/flexibility, able to deal with ambiguity
  • Time management skills and the ability to prioritize work

Physcial Requirements Non-Manufacturing:
  • Typically work is in an office environment where the noise level is low to moderate
  • Requires standing and/or sitting for prolonged periods of time
  • Ability to lift boxes/materials weighing up to 20 lbs
  • Requires telephone work and/or computer work, as well as interactions with other employees and customers
  • Ability to read, write, listen, and communicate effectively
  • View a computer monitor and type for extended periods of time
  • Manual dexterity of hands and fingers
  • Sit for extended periods of time
  • Close visual acuity to perform activities such as: preparing and analyzing data and figures; transcribing; viewing a computer monitor; and/or extensive reading
  • When travel is required, visual acuity to operate motor vehicle in daytime and nighttime.
