Job Description
Manages Department of Music office daily functions, including personnel and budget, prioritizes and schedules work demands from faculty, and manages department databases for program application, acceptance, barrier juries, and major/minor declarations. In addition to routine clerical work (answering phones, working with Hope students, word processing, coordinating rooms/food for meetings, maintaining office supplies, etc.), the Office Manager has responsibilities in the following areas;
  • Assisting the department’s faculty by scheduling appointments, answering phones, and otherwise relieving them of clerical work and minor administrative and business detail
  • Hiring and supervising student office workers – office assistants, keyboard lab monitors, and help for audition days
  • Distributing agenda provided by Chair for Faculty meetings
  • Attending and producing minutes of department meetings
  • Developing and maintaining student data systems
  • Management of digital calendar
  • Assisting chairperson
  • Tracking/maintaining budgets and departmental invoices including Certify assistance to professors
  • Assisting professors with departmental travel
  • Maintaining course catalog
  • Assisting as needed with search committees
  • Submitting/tracking part-time faculty requests
  • Supporting student groups (such as NAfME)
  • Ordering and maintaining departmental supplies (including books)
  • Performing/ordering maintenance of office copy machines and printers
  • Maintaining and contributing to content on the department website, bulletin boards, and hallway TV monitor
  • Assisting in the construction of course schedules
  • Working with Events and Conferences in reserving rooms for concerts, recitals, rehearsals, master classes, and workshops.
  • Arranging/reserving time and space for student junior and senior recitals
  • Preparing all concert/recital programs; assisting with special project programs that go through Public Affairs & Marketing
  • Maintaining room/classroom schedules within the music building
  • Handling departmental mailings if applicable – faculty recital brochures, publicity sent to high school ensembles, Tulip Time organ recital invitations, etc.
  • Assigning instrument lockers to students – collect & return locker and key deposits
  • Monitoring and maintaining instrument inventory and checkout with guidance from the appropriate faculty
  • Working with Admissions staff during scholarship audition time – managing communications to prospective students, students auditioning, reserving audition time, and rehearsal time, and then completing letters to all students indicating whether or not they receive a scholarship and the nature of that scholarship
  • Working with current scholarship students ensuring that they maintain the scholarship requirements
  • Assisting Faculty and Ensemble Directors as needed (i.e., music library maintenance, instrument storage, cataloging, etc).
  • Assisting in Website management with support from the College Web Content Manager
  • Assisting in departmental social media with the support of the music faculty and Hope’s Social Media Manager
This position is .75 FTE working approximately 35 hours from August-May and 20 hours from June and July
Qualifications
  • Minimum 3 years of office experience
  • Excellent English language skills; impeccable spelling, grammar, and punctuation required
  • Must be organized, self-directed, able to prioritize and work independently
  • Proven ability to manage multiple activities and deadlines
  • Prior word processing, spreadsheet, and website programs with the ability to learn new software programs
  • Excellent supervisory skills
  • Excellent skills in telephone manner and greeting faculty, staff, students, and prospective students/family
  • A positive demeanor and the ability to multitask are a must
  • Accurate keyboarding and excellent proofreading/editing skills
  • Excellent oral communication skills
  • Bachelor’s Degree preferred
Physical Demands
This position requires remaining in a sitting or standing position for frequent periods of time; uses office machinery such as a computers, printers, copy machines; Occasionally involves moving items over 10 pounds; frequently will move between different offices/workspaces/buildings; and requires effective communication abilities.
