Job Description
Job Description:
The Center for Diversity & Inclusion (CDI) Office Assistant will welcome and provide assistance for guests and will actively help to cultivate an environment that is diverse, inclusive, equitable, and transformative. Office Assistant’s primary responsibilities include, office administration and coordination of financial record processing and office organization including phone coverage, calendar management, student assistant and multicultural student organizations leadership support, event planning and logistics support, and public relations. Specific responsibilities include, but are not limited to the following:
Position Responsibilities
Event Planning
  • Oversight of the publicity, guest reservations, room arrangements, catering requests and other logistical details of the large and small-scale events held by CDI and/or the TRHT Campus Center
  • Assist in supporting the Program Coordinator, Assistant Director and Director as needed with scheduled programs, events and activities connected with the Center for Diversity and Inclusion
  • Assist in supporting the as needed with scheduled programs, events and activities connected with the Truth Racial Healing & Transformation (TRHT) Campus Center
Public Relations
  • Website updates, social media updates, promotional material development (brochures, annual calendar, displays), email and hardcopy communications to Hope and the greater Holland area, InHope notices, press releases, and additional materials
Office Administration
  • Welcoming and assisting guests, faculty, staff and students who need assistance as they make contact with CDI or with the TRHT Campus Center
  • Office Coordination
  • Financial Administration
    • Maintaining the financial records; processing documents (cash requisitions, interdepartmental transfers, credit card statements…); supporting director with budget management
  • Office Organization
    • UDrive and hard copy files; office supplies; camera; video/DVD archives
    • Procedure binder with office instructions
  • Phone Coverage
  • Calendar Management
    • Oversight & Management of the CDI and TRHT calendars
    • Support of staff calendar scheduling
  • Student Assistant Support
    • Support of CDI student workers, including developing office instructions and team-leading initial orientation
    • Serving as primary supervisor for online hour submission
    • Oversight of student assistants & Keppel House managers
  • Administrative Support for Multicultural Student Organization (MSO) Executive Board members
  • Bultman Center Multicultural Lounge
    • Oversight of room scheduling, in coordination with the Events and Conferences Office, Phelps Scholars
  • Student Support
    • Engaging with students to offer support, connections to CDI staff and other campus resources, as needed
Qualifications
Education and Experience
  • Relevant combination of education and experience (we welcome candidates with high school degree or equivalent, we also welcome undergraduate and/or graduate experience)
  • 1-2 years of experience with professional development/training in diversity, equity, and inclusion
  • Experience with office and/or program support and implementation logistics
  • Evidence of collaborative project and program management skills
  • Demonstrated capacity to support programs and student learning outcomes
  • Experience working with professional staff or undergraduate students
  • Experience with financial recordkeeping and processing
Knowledge, Skills, and Abilities
  • Knowledge and application of diversity, equity, and inclusion principles and practices working with students and colleagues
  • Possesses an understanding of institutional and structural bias and their impact on marginalized, underserved, and underrepresented communities
  • Ability to create materials to support workshop/training curricula on a wide range of topics related to diversity, equity, and inclusion
  • Effective communicator, with both speaking in public and through various modes of written documentation (reports, proposals, letters, etc.); ability to communicate effectively with racially, ethnically, geographically, and socioeconomically diverse communities
  • Demonstrates understanding of and commitment to the Hope College mission, mature Christian faith, inclusive excellence, and is excited about DEIB work in an undergraduate Christian liberal arts setting
  • Excellent interpersonal skills; able to work effectively with people of diverse ages, ethnic, gender and sexual orientation, dis(Abilities), and socio-economic backgrounds
  • Demonstrates cultural competence and awareness when communicating with internal and external constituents
  • Ability to maintain a positive engagement approach toward students, colleagues, alumni, families, stakeholders, community members, and guests in an active work environment
  • Proficiency or readiness to learn Windows Office applications (Word, Excel, PowerPoint) as well as Google Suite of services (Drive, Calendars, Hangouts, Documents, Spreadsheets, Slides, etc.)
  • Experience with or readiness to learn graphic design and event marketing (e.g., designing flyers for events)

Physical Demands
  • While performing duties, the employee will occasionally remain in a stationary position, stand, or sit for extended periods; move self in different positions to accomplish tasks in various environments; move about to different worksites; repeat motions that may use wrists, hands, and/or fingers; operate technology, machinery, tools, or controls; communicate with others to exchange information; ascend/descend stairs, ramps, and the like; assess the accuracy, neatness, and thoroughness of assigned work; operate motor vehicles.
  • The employee must occasionally move objects up to 25 pounds.
