Position Overview

The Advancement Administrative Assistant will be responsible for preparing progress reports, drafting proposals, engaging with potential donors, preparing and managing mailing lists, assisting with event planning, liaising with consultants, assisting with development related volunteer programs, and driving community empowerment initiatives. The Advancement Administrative Assistant will have the expertise in supporting development efforts that will assist our organization in improving donor opportunities, strengthening relationship with donors, streamlining development processes, encouraging organizational growth, researching and identifying funding opportunities, and promoting the organization’s mission and values to external stakeholders.

Responsibilities:

  • Research, compile, assimilate, proofread, and edit correspondence, documents, and reports for Advancement team as needed.
  • Draft correspondence and stewardship materials for Advancement department, including acknowledgement donation letters, and emails to donors, members, and foundations.
  • Assist with donor cultivation and stewardship for fundraising campaigns: the Annual Fund and other annual campaigns.
  • Provide research, administration, programmatic support and coordination for Advancement team.
  • Coordinate special department projects with internal and external collaborators, internal departments and/or consultants as needed.
  • Contribute to the conceptual development and logistical implementation of large-scale projects in a variety of collaborative teams.
  • Assist with the coordination of donor activities and events.
  • Help to develop and generate promotions, ideas, and redesign for Advancement department.
  • Assist with the coordination and execution of all fundraising events, including Homeless No More, the gala in Saginaw, golf outings, etc.
  • Provide event and logistics support for fundraising and special public events.
  • Drafts various letters and other documents on behalf of Advancement team.
  • Responds to inquiries made by donors, prospective donors, nonprofit agencies, etc. as requested by the VP of Advancement.
  • Drafts and coordinates distribution of general communications to donors, prospective donors, nonprofit agencies etc. as requested.
  • Schedules meetings with donors and prospective donors and makes necessary arrangements.
  • Serves as Secretary to record minutes as needed for department meetings.
  • Assists with administrative duties for the Knights of Columbus calendar including processing calendar ticket sales, mailing calendars, monitoring the monthly drawings and providing oversight for the raffle reporting.
  • Oversee all aspects of gift card donation and collection for the agency, including tracking all gift cards, and checking cards out to staff and receipt reconciliation.
  • Perform any other duties related to the Advancement department.

Qualifications


  • HS/GED and two (2) years related experience.
  • Three (3) or more year’s experience working in human services, child welfare and/or with at-risk youth. Preferred but not required, experience working with the homeless population.
  • One (1) or more years of experience in a supervisory capacity
  • Two (2) or more years of experience in positive youth development programming strongly preferred.
  • Lived experience in child welfare strongly preferred.
  • Meet State Good Moral Character guidelines.
  • Valid and Current Driver’s License with acceptable driving record.
