We are currently seeking a Front Office Receptionist to join our team and serve as the first point of contact for our esteemed clientele.
Position Overview : This position is a Full-Time position in our beautiful and centrally located downtown office. We are looking for a courteous and proactive Front Office Receptionist to manage our front desk and provide administrative support in a fast-paced legal environment.
The ideal candidate will be organized, personable, and detail-oriented, with excellent communication and multitasking skills.
As the face of our firm, the Front Office Receptionist plays a vital role in delivering outstanding customer service and creating a positive first impression for clients and visitors.
Responsibilities :
1. Greet clients and visitors in a professional and friendly manner, directing them to the appropriate attorney or staff member.
2. Answer and route incoming calls promptly and efficiently, taking messages as necessary.
3. Manage the reception area, ensuring it is clean, organized, and well-presented at all times.
4. Schedule appointments and maintain attorney calendars, coordinating meetings and conference room bookings as needed.
5. Handle incoming and outgoing mail, packages, and deliveries, distributing them to the appropriate recipients.
6. Assist with general administrative tasks, including filing, photocopying, scanning, and data entry.
7. Maintain confidentiality and discretion when handling sensitive information and client matters.
8. Collaborate with colleagues to ensure smooth office operations and provide support as needed.
9. Stay informed about firm procedures, and services to effectively address client inquiries and requests.
10. Uphold the firm's professional image and reputation by adhering to dress code and conduct standards.
