Givens Pursley is a reputable and dynamic law firm dedicated to providing exceptional legal services to our clients. With a focus on professionalism, integrity, and client satisfaction, we handle a diverse range of legal matters with precision and expertise.

We are currently seeking a Front Office Receptionist to join our team and serve as the first point of contact for our esteemed clientele.

Position Overview : This position is a Full-Time position in our beautiful and centrally located downtown office. We are looking for a courteous and proactive Front Office Receptionist to manage our front desk and provide administrative support in a fast-paced legal environment.

The ideal candidate will be organized, personable, and detail-oriented, with excellent communication and multitasking skills.

As the face of our firm, the Front Office Receptionist plays a vital role in delivering outstanding customer service and creating a positive first impression for clients and visitors.

Responsibilities :

1. Greet clients and visitors in a professional and friendly manner, directing them to the appropriate attorney or staff member.

2. Answer and route incoming calls promptly and efficiently, taking messages as necessary.

3. Manage the reception area, ensuring it is clean, organized, and well-presented at all times.

4. Schedule appointments and maintain attorney calendars, coordinating meetings and conference room bookings as needed.

5. Handle incoming and outgoing mail, packages, and deliveries, distributing them to the appropriate recipients.

6. Assist with general administrative tasks, including filing, photocopying, scanning, and data entry.

7. Maintain confidentiality and discretion when handling sensitive information and client matters.

8. Collaborate with colleagues to ensure smooth office operations and provide support as needed.

9. Stay informed about firm procedures, and services to effectively address client inquiries and requests.

10. Uphold the firm's professional image and reputation by adhering to dress code and conduct standards.

Qualifications :

  • High school diploma or equivalent; additional certification in office administration or related field is a plus.
  • Previous experience as a receptionist or in a customer service role, preferably in a legal or professional services environment.
  • Proficiency in Microsoft Office suite (Word, Excel, Outlook) and familiarity with office equipment (e.g., multi-line phone system, printer, scanner).
  • Strong interpersonal skills with the ability to interact courteously and effectively with diverse individuals, including clients, attorneys, and staff.
  • Excellent verbal and written communication skills, with a professional phone manner and attention to detail.
  • Ability to prioritize tasks, manage time efficiently, and handle multiple responsibilities in a fast-paced setting.
  • Demonstrated reliability, punctuality, and a positive attitude, with a commitment to providing exceptional service.
  • Understanding of confidentiality and discretion in handling sensitive information and client matters.
