General Description:

Under the direct supervision of the company Founder, Minela Kostjerevac or Director.

Primary Job Function:

  • Create the best possible first impression for our patients and potential patients, both in person and on the phone
  • Administrative work including but not limited to answering phones, scheduling, answering billing and service-related questions, collecting payment for services and/or products, sending and receiving faxes, and other duties assigned by providers or managers
  • Contact patients regarding the scheduling of follow-up visits and procedures, as outlined in the Treatment Plan
  • As scheduling changes occur, ensure that the schedule has minimal gaps
  • Update patient chart notes and files in EMR as needed
  • Work with multiple providers to ensure proper patient flow and practice efficiency
  • Learn and administer both attended and unattended therapies
  • Exhibit the use of therapeutic communication, exceptional customer service, professionalism, timeliness, efficiency, and teamwork in all aspects of work
  • Attend regularly scheduled staff meetings and learning sessions
  • Attend meetings virtually provided by the companies we work with related to education
  • Actively participate in quality improvement processes while being open to ongoing changes
  • Keep all protected health information (PHI) confidential and abide by HIPAA guidelines for the release and disclosure of any PHI
  • Consolidate banking on a monthly basis for services paid and reconcile these transactions in Quickbooks
  • Stock the Fridge and Set up daily drinks for patients
  • When patients are being treated and during downtime, help with social media
  • Work with Minela Kostjerevac and internal teams to create a social media campaign that aligns with the brand
  • Assist in creating and curating engaging content for social media platforms including Instagram, Facebook, Tik Tok, and others as relevant.
  • Monitor social media channels for comments, messages, and mentions, and respond to inquiries in a timely and professional manner
  • Schedule and publish posts using social media management tools, ensuring consistency in voice and messaging across platforms
  • Learn different skin care lines and focus on educating patients in regard to their use for the best outcomes
  • Must take accountability for own education
  • Must love aesthetics and have a passion for the beauty industry

Required Skills:

  • Preferably some experience in sales, customer service administration or medical office preferred
  • Must be a team player – be wiling to help support other departments when needed
  • Ability to work independently and as part of a multi-disciplinary team
  • Document management and excellent organizational skills
  • Must be detail-oriented and be able to multi-task effectively
  • Previous experience with an Electronic Health Records (EHR) system and working in an EHR environment
