Gefen Optical LLC is Hiring an Office Assistant Near Lakewood, NJ

About Us: Here at Gefen Optical we are an independent and growing optometry office providing medical eye care and services in Lakewood, NJ. We are currently looking for a potential candidate that has the qualities needed to fill our Optometric Assistant position. The ideal candidate would be detail-oriented, well-organized, respectful, and reliable. As well as possess the following skills: Time Management, Customer Service, Computer, Typing, Math, English (Read, Write, and Speak Fluently), Critical Thinking, and Trouble-Shooting. We encourage those who are self motivated and proficient in all the skills mentioned to apply. While experience is a plus, we are willing to train the right candidate.

Responsibilities for this position include but are not limited to the following:

  • Process Insurance Claims
  • Filter and Distribute Denied Insurance Claims Accordingly
  • Fulfill Orders Daily
  • Order Materials Needed Daily
  • Log All Materials Ordered-Monthly
  • Process Warranties
  • Update statuses internally
  • Retrieve statuses externally
  • Reorder all stock lenses-Daily
  • Answer Phone Calls/Delegate to appropriate depts.
  • Schedule/Reschedule Appointments
  • Compose thorough stock lens inventory checks - Monthly
  • Communicate to Coworkers Via Phone Email
  • Communicate to Supervisors Via Phone Email
  • Communicate to Customer Services Via Phone Email
  • Log Warranties-Monthly
  • Log All Tracking Numbers
  • Maintain Focused and on task
  • Inspect all incoming/outcoming jobs thoroughly
  • Flag/Report All Errors
  • Accumulate and deliver all company invoices - Monthly
  • Pack all customer delivery orders - Daily
  • Organize and store all Insurance Claim Paperwork
  • Receive all incoming shipments - Daily
  • Check all invoices (quantity and pricing) associated with incoming shipments - Daily
  • Keep all merchandise pricing in system up to date for all materials (frames, lenses and contacts)
  • Enter all new merchandise into system (frames and lenses)
  • Accumulate and store all lens packets
  • Distribute packets when needed for warranties
  • Manage all Whatsapp messaging
  • Respond to all assigned text conversations from patients.

Requirements:

  • Reliability: Reliable and responsible, demonstrating a strong work ethic and commitment to meeting deadlines.
  • Detail-oriented: Keen attention to detail and ability to stay focused in a fast-paced working environment.
  • Language Skills: Proficient in reading and writing English, with basic numeracy skills.
  • Team Player: Strong teamwork and communication skills.
  • Experience: Minimum of 1 year of experience in a relevant setting, with knowledge of computer and optometry terms. (Preferred)

Schedule:

Sunday 11:00 am - 5:00 pm

Monday 11:00 am - 8:00 pm

Tuesday 11:00 am - 6:00 pm

Wednesday 11:00 am - 6:00 pm

Thursday 11:00 am - 7:30 pm

Friday 11:00 am - 2:00 pm

Starting Hourly Pay: $18

Expected Hours: 40 per week

Pay Period: (Biweekly - By Check or Direct Deposit)
