Job Summary:
We are seeking a detail-oriented and organized Document Specialist to join our team. The Document Specialist will be responsible for managing and maintaining company documents, ensuring accuracy, quality, and compliance with established procedures. The ideal candidate will have strong administrative skills, excellent attention to detail, and a solid understanding of document management systems.
Duties:
- Organize and maintain physical and electronic documents in accordance with established procedures
- Perform data entry tasks to input and update information in document management systems
- Ensure the accuracy and completeness of all documents, verifying information and resolving any discrepancies
- Collaborate with cross-functional teams to gather necessary documentation for projects or audits
- Assist in the development and implementation of document control processes and procedures
- Conduct regular audits to ensure compliance with records management policies and regulations
- Provide support in retrieving documents as requested by internal stakeholders or external auditors
- Assist in the creation of technical documents, including manuals, guides, and standard operating procedures
- Maintain confidentiality and security of sensitive information
Skills:
- Strong knowledge of records management principles and practices
- Proficiency in using document management systems and software
- Excellent organizational skills with the ability to manage multiple tasks simultaneously
- Attention to detail and high level of accuracy in data entry and document verification
- Strong written and verbal communication skills for effective collaboration with team members
- Familiarity with quality management systems is a plus
- Ability to perform administrative tasks such as filing, scanning, and copying documents
- Experience in technical writing or creating instructional materials is desirable
