SCHEDULE
Hybrid Schedule – 3 days in the office & 2 days working from home
Standard 40 hours per week
PAY RATE
$24-$30 per hour
CONTRACT LENGTH
1 year with high likelihood of extension or conversion to a full time employee
POSITION OVERVIEW – Document Control Analyst
The primary function of the Document Control Analyst is working with the project team to ensure proper document management (including but not limited to revisions, naming, transmittals, and electronic filing). The Document Controller/Project Admin will also provide high-level administrative and project support, handling information and project requests and performing clerical functions.
DUTIES
  • Implement existing document control specifications.
  • Track contractor and vendor deliverables throughout the project lifecycle (recording revisions, revision purposes, distribution, and transmittal histories).
  • Manage and store documents in SharePoint.
  • Understand key players and communicate with stakeholders.
  • Ensure reliability, irretrievability, and traceability of project data.
  • Process incoming and outgoing correspondence promptly.
  • Prepare accurate status reports based on metadata designations and submit them as required.
  • Align with Document Control standards and ensure controlled and traceable deviations for project-specific needs.
  • Supervise general office duties such as ordering supplies, maintaining records management systems, and basic bookkeeping.
  • Prepare agendas and make arrangements for project team and other meetings.
  • Update, revise, and implement internal document control practices, procedures, and specifications.
  • Differentiate document types and properly classify CPL category descriptions and codes when managing in D2.
  • Accurately input and update data/documents into the SOR (D2).
  • Conduct audits of team members' work processes, including process safety information and Management of Change (MOC) processes.
  • Review Project Close-out Screening Checklists and ensure updated documents are imported into D2 prior to closeout.
  • Interface with Engineering Services Document Control to develop and troubleshoot system needs and issues.
  • Collaborate and communicate with partners, vendors, project management, and operations team members to manage documentation flow.
  • Process drawing requests and returns received from internal and external contractors.
  • Import documents including drawings, hydrotest uploads, etc. into the system.
SKILLS
  • Intermediate to expert proficiency in MS Teams, SharePoint, MS Word, Outlook, PowerPoint, and Excel.
  • Experience with, and comprehension of, deliverables management (revision control, deliverables registers, squad checking and libraries.
  • Experience with, and comprehension of, transmittals and correspondence management.
  • Experience in implementing document management systems to support physical and electronic environments.
  • Ability to converse and convey ideas, facts and issues clearly, accurately, coherently and professionally to a diverse project team. Ability to work with varying personalities, situations, and develop good rapport with project team.
  • Verbal and written communication skills, multi-tasking, customer service skills and interpersonal skills.
  • Processing drawing requests from internal and external customers
  • Strong ability to keep information organized and confidential.
  • Detail oriented
REQUIREMENTS
  • 3 years of direct experience with Document Control
  • Minimum of 2-3 years of experience in document control or related roles.
  • Experience working with document management systems such as SharePoint and D2.
  • Familiarity with project management methodologies and practices.
  • Previous experience in supervising or managing general office duties is advantageous.
  • Proficiency in Microsoft Office Suite, particularly Excel and Word.
  • Ability to understand technical documents and drawings.
  • Experience conducting audits and ensuring compliance with processes and procedures.
  • Knowledge of record-keeping and bookkeeping principles.
  • Ability to prioritize tasks and manage time effectively.
  • Problem-solving skills to troubleshoot system issues and implement solutions.
  • Collaborative mindset with the ability to work effectively in a team environment.
    EDUCATION
    Bachelor's degree in a relevant field such as Business Administration, Information Management, or a related discipline.
