Position Title: Office Assistant

We work with individuals, organizations, food manufacturers and distributors, grocery stores, the USDA, and Feeding America to procure food and purchase food to supplement donations. In Short:
The Office Assistant’s seat at our table is an impactful opportunity to connect and build relationships within all areas of our organization, including partners, donors, employees, volunteers, contractors, and neighbors. This role provides administrative and clerical support to help eliminate hunger in our communities by handling various tasks, such as answering and directing phone calls, creating a positive and welcoming atmosphere, organizing and running daily administrative operations of the organization, and cultivating an innovative and mission-driven culture.
Your Mission:
  • Relationship Building: We value the intentional importance of building and maintaining consistent connections with all our customers, employees, volunteers, donors, partners, neighbors, contractors, and others. That's why a crucial part of your role will involve consistent engagement with everyone around our table. Your customer-centric thinking will significantly shape our culture by focusing on a positive experience and excellent customer service while representing the Food Bank for the Heartland for guests and callers during business hours.
  • Visitor Journey Experience: You will be the driving force behind the high-impact strategy for our visitors' experience by creating and overseeing the visitor sign-in/sign-out process, cultivating a positive culture through lobby cleanliness oversight, assisting in the planning and success of FBFH-hosted events, and crafting and managing the visitor experience roadmap with innovative and creative ideas to increase the visitor experience.
  • Stakeholder Communication: We believe in effective communication, so you will work closely in various communication channels to consistently keep communication flowing with all stakeholders throughout the organization through incoming and outgoing mail/package management, including donations and hand deliveries. Leverage tools like our automated voice greeting system to manage changes and communicate immediate needs such as holiday and facility closures.
  • Collaborate, partner, support, and cultivate relationships with all departments to be a resource for departmental strategies and focus areas, including special projects or events. This includes assisting the SNAP business unit with application mailings, assisting with data integrity projects in the donor management database, and collaborating with the volunteer coordinator to provide innovative customer support for our volunteers.
  • Champion positive culture closely with the FBFH Human Resources team to craft an inspirational employee and applicant experience by assisting in HR’s journey with various initiatives (DEI initiative, wellness initiatives, strategical goals) and tasks (employee directory oversight, employee specialized (name badge, business card) ordering, office supply ordering, company vehicle check out process, initiating thank you notes, birthday cards and acknowledgment letters).
  • Champion opportunities for process and office management improvements.
  • Other duties entrusted within your scope of practice.

Your Story:
  • High school diploma or GED required.
  • Minimum of two (2) years of relatable experience.
