Farmer's Fridge Careers is Hiring a HR Operations Manager Near Chicago, IL

Farmer’s Fridge makes fruits and vegetables accessible and approachable for everyone. We offer a variety of fresh, healthy, ready-to-eat meals and snacks through our fresh food vending machines, wholesale partners, and our office pantry solution — providing chef-curated meals to customers within seconds. Today, we operate a network of Fridges and partner with clients nationwide in high-foot-traffic areas, such as airports, hospitals, universities, and large office buildings — where there is limited accessibility to fresh, healthy, grab-n-go options.

About this Role:

We are seeking an HR Operations Manager toown the day-to-day administration responsibilities of the HR function, ensuring the effective HR processes, systems, and benefits are in place to enable our HR team to provide strategic partnership to the business. You will work closely with the HR team, functional leaders and other stakeholders to streamline HR operations, drive efficiency and build/maintain the infrastructure needed to help the business scale.

You will interact regularly with employees of every level while supporting company initiatives and projects. We’re looking for somebody with a background in HRIS and a foundational knowledge of HR, Payroll and Benefits who is eager to grow their career and build relationships across the organization while delivering best-in-class employee support. 

The ideal candidate for this role is someone who has a growth-oriented mindset and enjoys thinking analytically as well as interacting with employees. This person feels confident in their ability to focus on the details and produce high quality work with a high sense of ownership and follow-up to ensure questions are answered as well as programs and processes work seamlessly. The role reports to the Director of HR and is located at our corporate office in Chicago. 

HRIS and HR Technology:

  • Owner of all HR technology, including configuration, workflows, upgrades, revisions, accuracy, and reporting.
  • Collaborate with the HR team and cross functional partners to understand business requirements, and propose creative solutions and recommendations for HR operations improvements
  • Ensure accurate and confidential handling of employee data and other HR-related data through regular audits
  • Collect, analyze, and interpret HR data to generate reports and provide insights to HR leaders and other stakeholders. Prepare regular reports and create dashboards on HR metrics
  • Identify opportunities to enhance systems, and processes to improve efficiency, quality, timeliness, and accuracy 

Benefits and Payroll:

  • Design and implement the full suite of benefits offerings to increase the company’s ability to attract, develop, and retain top performers
  • Manages health and welfare plans, COBRA administration, FMLA administration, including the integration with disability programs 
  • Oversee payroll processing and temporary worker invoicing and reconciliation, ensuring accuracy, compliance and efficiency
  • Ensures documentation such as plan documents, plan amendments, summary plan descriptions, tax filings or other documents are in place to assure compliance
  • Ensure compliance with all legal, regulatory and audit requirements
  • Manages 401(k) administration and compliance. 
  • Manage open enrollment, including communication, process, and coordination with stakeholders
  • Manager HR Operations (Payroll) Specialist 

HR Process:

  • Develop and implement HR processes, policies, and procedures to ensure compliance, efficiency, and accuracy in areas such as employee onboarding, offboarding, compensation and benefits administration, performance management, leave management, and employee records management.
  • Own employee incident process, including claim submission and regulatory reporting
  • Stay up to date with employment laws, regulations, and industry best practices to ensure HR operations comply with legal and regulatory requirements. Review HR policies and procedures to ensure compliance with changing laws and regulations.
  • Manage relationships of HR vendors through effective communication, service level monitoring, and contract negotiations to ensure the organization receives quality services at competitive prices.
  • Assist with compensation requests/projects

What Your Background May Look Like:

  • Bachelor’s Degree in Human Resources and 6 years of HRIS, Payroll, Benefits, HR Operations or HR Shared Services experience, or comparable combination of education and human resources-related experience in these areas
  • Experience with various HRIS Systems (UKG Pro experience highly preferred)
  • Proficient in MS Excel / Gsheets. Can navigate efficiently across robust data sets and build comprehensive models from scratch
  • Understanding of employment laws, regulations, and compliance requirements.
  • Keen attention to detail with exceptional critical thinking skills; demonstrated ability to independently analyze and interpret information to create effective solutions
  • Ability to work in a fast-paced environment, navigate ambiguity and changing priorities
  • Excellent verbal and written communication skills
