General Job Description: As the Admin and HR Operations Manager of BRG @ Hoxton Chicago, some of your responsibilities will include scheduling & overseeing the Reservationist Team, processing invoices, recording bill pay into spreadsheets, tracking inventory, and placing necessary orders. You will also work closely with the HR and restaurant management teams to support the hourly employee experience including new employee onboarding, benefit enrollment and processing payroll end to end for Cira, Cabra & Lazy Bird.

Schedule: 5 days a week, based off M-F, 9-5. Schedule may vary.


Admin & HR Operations Manager's Responsibilities:

Financial Performance & Acumen

  • Follow guidelines and procedures set by Accounting and senior management.
  • Oversee financial reporting processes, including maintaining logs & submitting end-of-month reports.
  • Manage cash procedures at restaurants, including monthly safe audits, managing petty cash requests & reimbursements, and change orders deposits.
  • Manage the lifecycle of an invoice, including entering invoices into Receiving Logs based on expense coding completed by management team members and assisting with Margin Edge/Bevager invoice scanning & maintenance.
  • Assist senior leadership in defining restaurant success metrics and maintain restaurant Scorecard & Budget Trackers.

Employee Onboarding & Offboarding:

  • Serve as the main touchpoint for the hourly employee onboarding experience at assigned locations and monitor adherence to HR procedures.
  • Schedule and complete all onboarding for hourly employees at assigned locations including:
  • Ensuring each employee has a complete application.
  • Draft hourly offer letter and present job description.
  • Complete onboarding in payroll software including:
  • Ensuring employee completes full registration.
  • Completing I9 (Sections 1 2).
  • Signing the employee handbook.
  • Completing Sexual Harassment Prevention training.
  • Completing Human Trafficking Training.
  • Uploading certifications as needed.
  • Ensuring employee is set up in scheduling platform.
  • Process all Personnel changes and terminations at assigned locations following HR procedures.
  • Use HR systems to maintain hourly employee documents, keeping food handler/basset/allergy certifications organized, sending reminders to employees for required renewals of certifications, and handling filing of disciplinary forms and terminations.

Payroll Processing:

  • Oversee daily labor audits, entry of tips into 7Shifts, and troubleshooting issues with tips or hours on hourly employee paychecks.
  • Process hourly payrolls for BRG @ The Hoxton Chicago including but not limited to; verifying regular and overtime hours, reconciling tips, and commissions against POS reports, assisting restaurant teams in issues that may arise.
  • Process adjustments to payroll, such as retro pay and bonus payments.
  • Provide and audit active employee roster.
  • Escalate for approval and processes any off-cycle manual checks as needed.
  • Manage and execute payroll for offsite event teams if applicable.
  • Responsible for the coordination between payroll and Business Directors to ensure proper flow and maintenance of employee data.
  • Serve as point of contact for payroll related questions from employees.

Benefits

  • Assist with administration of employee benefits processes including but not limited to, sick pay, insurance deductions, and 401K deductions.
  • Educating employees about offered benefits, including determining eligibility and assistance in the enrollment process.

Office Administration & Teamwork

  • Maintain organization and posting of restaurant licenses, permits, and certificates of insurance.
  • Attend management & HR meetings, as assigned by senior management.
  • Be a leader in developing and cultivating a professional and growth-focused positive work environment.
  • Support team with special projects, tasks, and duties, as required for restaurant operations and assigned by senior management.
  • Participate in management training as scheduled and assigned by senior management.
