Environmental Facilities Corporation is Hiring an Administrative Assistant Near Albany, NY

Knowledge/Skills
  • Experience managing multiple priorities in a fast-paced environment.
  • Highly proficient in written and verbal communications, with strong grammar, vocabulary, and composition skills.
  • Highly proficient in MS Word, Excel, Adobe, and PowerPoint.
  • Knowledge of basic mathematical concepts and ability to work with numerical data.
  • Ability to compile and organize data and information.
  • Detail-oriented, possessing strong organizational skills, initiative, and self-motivation.
  • Able to maintain confidentiality and discretion and possess good judgement.
  • Experience with database software and internet research tools and techniques.
  • Proficient using standard office equipment.
  • Able to develop and maintain common office filing systems and processes and adhere to departmental routines and lead the automation of information sharing and storage practices.
  • Ability to work effectively in high pressure and strict deadline situations.
Qualifications
High School Diploma, or General Equivalency Degree (G.E.D.), and three years of specialized administrative support experience.
Duties Description
The Administrative Assistant will be responsible for providing a wide level of administrative support to the Engineering Division.
Essential Job Functions
  • Compiles, organizes, and processes a variety of information, forms, and paperwork, using established procedures. On a monthly basis this may include packet preparations related to Financing and Grant Agreements.
  • Performs various administrative duties, utilizing standard office equipment, to include screening incoming calls; taking and transmitting messages; distributing mail; filing; making copies; scanning; and Microsoft Office functions.
  • Maintains Director and Deputy Director calendars, as well as divisional leave and meeting calendars.
  • Manages Director and Deputy Director’s incoming communications to maximize their time, always having a clear understanding of their goals, values, and needs.
  • Assists in managing contact database.
  • Schedules and coordinates conference calls and meetings.
  • Coordinates travel arrangements for Engineering Division staff and processing related expense reimbursement requests.
  • Assists with personal protective equipment (PPE) tracking and check-in/out procedures.
  • Maintains tracking of Professional Development Hours for Professional Engineers.
  • Prepares meeting agendas, distributes meeting minutes to appropriate individuals.
  • Formats, proofreads, and edits presentations.
  • Providing back-up to the receptionist is a requirement of this position.
Working Conditions and Physical Abilities
Work is performed in an office setting, with prolonged periods of sitting and fine manipulation skills required for computer use. This position requires a professional demeanor and an orientation towards customer service.
