Job Title: Administrative Assistant Non-Exempt: No Remote: No Department: Accounting Reports To: Chief Financial Officer Work Hours: Part-Time 10 AM 2 PM (Monday-Friday)
POSITION SCOPE: EEA Companies is looking for a dedicated Administrative Assistant to work in our Greensboro, NC office assisting with front desk duties. ESSENTIAL DUTIES & RESPONSIBILITIES: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Welcome guests and customers by greeting them in person or on the telephone, answering or directing inquiries.
Maintain customer confidence and protects operations by keeping information confidential
Assist building manager with tenant inquiries, vendor relations, and building access
Make travel arrangements as required for management team members
Make lunch, dinner, meeting, or other reservations and orders, as required, along with assisting in the execution of company events, meetings, and special projects.
Assist other departments with administrative support, preparing employee gifts, creating presentations, documents, proposals, etc.
Manage all interoffice mail and packages by preparing mail and shipping labels using USPS, FedEx, or other national courier services.
Deliver mail to the post office and tenants as needed
Ensure copiers, printers, and fax machines are loaded with paper and operational
Order and maintain office and coffee supplies by checking stock to determine inventory and anticipating needed supplies.
Oversee and manage the overall upkeep of common areas such as kitchen, conference rooms, etc.
Prep office by ensuring dishwasher is loaded/unloaded, plants are watered, and newspapers are collected from the front of the building
Ensure that the company has adequate and suitable resources to complete its activities.
Knowledge, Skills, and Abilities
Knowledge of office processes, procedures, and technology
Advanced reading, writing, and analytical skills
Ability to deal tactfully with customers
Ability to work independently without direct supervision
Ability to use initiative and independent judgment within established guidelines
Ability to communicate effectively and professionally
Required Education and Experience
High school diploma or equivalent
Competency in Microsoft applications, including Word, Excel, and Outlook
Proven organizational, verbal, and written communication skills are required
Attention to detail and the ability to multi-task is an asset
Supervisory Responsibility:
This position has no direct supervisory responsibilities.
