General Position Summary
The Administrative Assistant is responsible for providing full-time administrative support to our corporate office. This position will provide general assistance to all levels of staff within Adams Electric Company.

Responsibilities:

  • Assist CFO with monthly and year end closings
  • Assist with bank accounts and Credit Card reconciliations
  • Assist Payroll Manager on a weekly basis and cross-train
  • Answer, direct and process all calls and inquiries accordingly
  • Assist accounting department as needed with purchase orders, billing, filing, etc.
  • Subcontract administration through issuance of subcontracts, issuance of subcontract change orders and maintenance of COIs
  • Issue purchase orders to project managers
  • Assistant HR Department
  • General filing and administrative duties including, but not limited to, filing, scanning, shredding, etc.
  • Provide general assistance to company leadership as requested

Qualifications:

  • Associates Degree in Business Administration or related discipline
  • Minimum 2 years office administrative work experience
  • Can be a combination of education, training and relevant experience.

Required Skills:

  • Computer, filing, and excel knowledge required
  • Attention to detail is a must; strong analytical skills favored
  • Proficient in using a computer and Microsoft Office (Outlook, Word, Excel, etc.); Blubeam preferred
  • Spectrum Viewpoint experience required
  • Ability to prioritize and manage multiple tasks, changing priorities as necessary
  • Ability to work under time pressure and adapt to changing requirements with a positive attitude
  • Effective oral and written communication skills as required for the position
  • Ability to be self-motivated, proactive and an effective team player
  • Ability to interact effectively and professionally with all levels of employees, both management and staff alike, vendors, clients, and others
  • Positive can do attitude a must

Work Environment/Job Conditions:

  • General work environment – sitting for long periods, standing, walking, typing, carrying, pushing, bending. Work is conducted primarily indoors with varying environmental conditions such as fluorescent lighting and air conditioning.
  • Noise level is usually low to medium
  • Occasional lifting of up to 35 lbs.
