Description
Job Summary: We are seeking a detail-oriented and organized individual to join our team as an Accounts Payable Administrator. The AP Administrator will be responsible for managing various administrative tasks related to accounts payable functions, including email management, data entry, mail distribution, statement research, and assisting with reception duties as needed. The ideal candidate will possess strong communication skills, attention to detail, and the ability to work efficiently in a fast-paced environment.
Responsibilities:
Manage Multiple Email Accounts:
· Monitor and manage five email accounts related to accounts payable.
· Respond to emails promptly and accurately, ensuring all inquiries and requests are addressed in a timely manner.
Data Entry:
· Accurately enter data into accounting systems and spreadsheets.
· Maintain organized records of invoices, payments, and other financial documents.
Mail Distribution:
· Sort and distribute incoming mail, prioritizing items related to accounts payable.
· Ensure timely delivery of invoices, statements, and other financial documents to the appropriate departments or personnel.
Assist with Statement Research:
· Collaborate with the finance team to research and reconcile statements from vendors and suppliers.
· Identify and resolve discrepancies or errors in statements in a timely manner.
Email Management and Invoice Processing:
· Separate emails received from customers related to accounts payable.
· Upload invoices into the system accurately and efficiently.
Backup Receptionist:
· Provide backup support to the receptionist during peak times or when needed.
· Greet visitors, answer phone calls, and direct inquiries to the appropriate personnel.
Requirements
Qualifications:
· Previous experience in accounts payable, administrative support, or related field preferred.
· Proficiency in data entry and email management.
· Strong organizational skills and attention to detail.
· Excellent communication and interpersonal abilities.
· Ability to prioritize tasks and manage time effectively.
· Familiarity with accounting software and Microsoft Office Suite.
