Accounts Payable Specialist
Overview
A well- established HVAC, roofing, and plumbing contractor company is looking to add an Accounts Payable Specialist. The Accounts Payable Specialist will be responsible for performing bookkeeping and clerical duties including processing invoices, maintaining accurate vendor records, filing, correspondence, and data entry. This role is both clerical and providing accounting assistance. This is an in office position.
Major Responsibilities:
§ Enter vendor invoices
§ Code invoices with appropriate job number and cost code
§ Check vendor statements to ensure all invoices are entered
§ Assist with accounting close out for accounts payable on a monthly basis
§ Answer vendor phone call and emails
§ Investigate and resolve any accounts payable discrepancies as they arise
§ Maintain accounts payable filing system
§ Take calls from the field for purchase orders and enter purchase orders
§ Assist with vendor statement reconciliations
§ Provide clerical support to departments and project managers as needed
§ Perform other administrative support services as needed
Skills:
§ Must be a team player. Strong interpersonal, problem-solving, and effective communication skills are also required with a desire and ability to work and communicate as a team across all departments.
§ Must have excellent communication skills as this position entails having communications with Vendors, Suppliers, Project Managers, and customers
§ Must be highly organized, able to prioritize, set and keep deadlines, change direction quickly, and adapt to various work environments easily.
§ Ability to work in a fast-paced environment while maintaining a high degree of accuracy.
§ Experience using Microsoft applications as well as Adobe Acrobat/Bluebeam.
§ Possess basic knowledge of accounts payable and other administrative support processes.
§ Be able to handle multiple priorities, meet deadlines, and have great follow-up skills.
§ Possess the ability to work independently and in a team environment
Computer Skills:
§ Microsoft Office Suite (Excel, Outlook, Word)
Education:
§ High School or equivalent required
§ College Degree, Bachelor or Associate’s preferred
