Earth Systems, Inc. is Hiring a Human Resources Assistant Near Jacksonville, FL

We currently have an excellent opportunity for a highly motivated Human Resources Assistant who is deeply passionate about working at a growing environmental consulting firm. The HR Assistant will be responsible for handling a variety of tasks and will provide support to the HR department and employees regarding human resources related activities, policies, processes, and procedures. This HR Assistant position will provide support to the HR Director and to the organization in all aspects of HR administration including recruitment, interviewing, new hire set up, onboarding, payroll, 401k administration and employee relations. Under the direction of the Human Resources Director, the HR team implements and maintains HR policies and procedures to make a positive employee experience.

Responsibilities:

  • Recruiting - Working with the Hiring Managers to fill open positions.
  • Job posting and maintenance.
  • Screening applicants.
  • Arranging interviews.
  • Conducting entry level interviews.
  • Maintain recruiting folder.
  • Maintain the ATS.
  • Look for upcoming job fairs and share with management.
  • Discover new places to post jobs.
  • Payroll - Process the Bi-weekly Payroll.
  • Process timecards and payroll data – calculate overtime, bonuses, PTO, holidays, and all other parts to employee’s hours.
  • Gather information such as hours worked, overtime, time off, and any other relevant details for each employee.
  • Process information gathered to enter payroll into the PEO by reviewing hourly rate or salary, and any additional compensation such as overtime, bonuses, or commissions.
  • Transfer the payroll data to the PEO's system for processing.
  • Double-check calculations and review the payroll for accuracy.
  • Prepare payroll to be submitted.
  • Download payroll reports.
  • Calculate and maintain PTO and Floating Holiday data.
  • Enter 401K deductions from payroll into the 401k Portal.
  • Download 401k reports.
  • Process PTO accruals and reports.
  • New Hire / Onboarding Team – Works with HR Team to ensure the new hires are onboarded completely and have a great onboarding experience.
  • Verify that new employees have all their pre-employment drug/alcohol screening and physicals set up. Collect results and ensure the employees can work.
  • Contact each new employee and make sure that the team is set up for the first day by making sure that we have all the documents and information needed to start onboarding.
  • Ensure all necessary paperwork and documentation are ready.
  • Ensure that IT has all the equipment ready for their 1st day.
  • Ensure that H&S is aware of all H&S documents that the new employee provided.
  • Set up a 10 / 30 / 90-day check-in with the new hire.
  • Maintain the Monday database to ensure all tasks are completed.
  • Ensure the New Hire checklists are completed in their employee file.
  • Process an MVR Check and send information to the Insurance company and add the new driver to the company’s insurance.
  • Verify each employee has been E-Verified (E-Verify/My Staffing Pro) and documents are filed.
  • Make sure that their first day paperwork is ready for their onboarding meeting.
  • Facilitate the New Hire onboarding meeting.

Requirements:

  • Ability to maintain strict confidentiality regarding payroll, benefits, and employee issues.
  • Previous experience with Payroll Systems.
  • Ability to complete and handle multiple projects and deadlines.
  • Detail oriented and excellent organizational skills: accuracy is essential.
  • Ability to work under pressure without losing their composure.
  • Maintain a great working relationship with the HR team.
  • Administrative and Organizational Skills: HR requires good organizational and filing skills and data entry and record retention. Organizing and maintaining accurate data is essential.
  • Confidentiality: The ability to maintain confidentiality of sensitive information like employees’ personal records and details, performance evaluations, and payroll information.
  • Outstanding interpersonal skills: must display patience.
  • Excellent communication skills: the ability to communicate effectively and proactively.
  • Personal Learning: Commit to continuous improvement. Developing a continuous learning mindset instills a vital belief that you never finish improving. This position is set up for growth.
  • Active listening: The practice of preparing to listen, observing what verbal and non-verbal messages are being sent, and then providing appropriate feedback for the sake of showing attentiveness to the message being presented.

Education:

Bachelor's degree in Human Resources or High Scholl Diploma a minimum of 3 years of experience with HR principles and practices
