Dorill Initiative (Dorill), founded in 2018, is committed to helping at-promise youth tap into their limitless potential and creative power to galvanize communities holistically and ignite social change. In Dorill Arts Programs, we utilize healing-centered instruction and restorative justice practices to coach our young citizen artists to tell their authentic stories through high-caliber artistic training, academic self-esteem coaching, civic action and community engagement workshops. Dorill has served over 250 families so far across our programs. We have an 11 person staff, 7 artistic coaches, and 13 board members.

Position Summary:

As the driving support behind operational efforts, the Operations Manager is responsible for managing the day-to-day operations of Dorill Initiative, ensuring that the administrative office and programs run efficiently and that all members of the team have what they need to succeed (such as equipment, supplies, record-keeping and a safe and supportive work environment). The Operations Manager also coordinates communication and information flow among the Operations Department, key stakeholders and other departments.

Position Duties and Responsibilities:

  • Oversees operational systems, processes, and infrastructure while looking for opportunities of improvement or revision.
  • Anticipates and tracks operational and tactical risks and provides strategic solutions.
  • Manages day-to-day business of the Operations Department while balancing the responsibilities of various business lines such as business analysis, vendor, and risk management.
  • Manage and oversee the daily operations of the accounting department including:
    • Month and End-Year Process, Accounts Payable/Receivable, cash Receipts, General Ledger, Payroll and Utilities, Treasury, Budgeting, Cash Forecasting, Revenue and Expenditure Variance Analysis, Capital Assets Reconciliations, Trust Account Statement Reconciliations, Check Runs, Fixed Asset Activity, and Debt Activity
  • Monitor and analyze accounting data and produce financial reports or statements
  • Establish and enforce proper accounting methods, policies and principles
  • Coordinate and complete annual audits
  • Improve systems and procedures and initiate corrective actions
  • Meet financial accounting objectives
  • Establish and maintain fiscal files and records to document transactions
  • Plays a significant role in long-term planning, project status reporting, and implementing change control processes.
  • Works closely with the Operations Director on other special planning and departmental projects.
  • Oversees and reports weekly, monthly, quarterly, and annual metrics.
  • Identifies trends and assess opportunities to improve processes and execution.
  • Completes reasonability testing and information validation prior to circulating findings and recommendations to key stakeholders.
  • Collaborates with other back-office team members to ensure seamless business execution, reinforce positive morale, and uphold company values.
  • Collaborates with the Director of People & Culture to assist with HR recruitment, transitions and onboarding teams as needed.
  • Raises and tracks issues and conflicts, removes barriers, resolves issues of medium complexity involving stakeholders and escalates to appropriate level when required.
  • Assesses a variety of situations and provides clarity to team and stakeholders.
  • Establishes and maintains credible, professional relationships with clients, internal business lines, and external vendors.
  • Solicits and responds to feedback while gaining commitment and support.
  • Supports back-office and firm-wide training programs, reinforcing tech and operations infrastructure between departments to ensure consistency and quality standards are met.
  • Stays up to date on industry regulations, trends, and technology.
  • Works closely with the Executive Team to ensure all operational, administrative, and compliance functions within the firm are being properly executed in accordance to regulatory-based best practices.

Position Qualifications and Experience:

  • Bachelor’s Degree and/or 2-4 years work experience in relevant fields (e.g., nonprofit management, business administration, arts education, financial management, etc.)
  • Exceptional interpersonal & intrapersonal skills and commitment to representing Dorill’s mission, vision, and values with enthusiasm, warmth and professionalism
  • Excellent organizational, critical and problem solving skills
  • Strategic thinker with ability to thrive in a fast-paced, do-it-yourself, start-up environment
  • Works well alone as well as under direct supervision
  • Outstanding written and verbal communication skills
  • Demonstrates a professional demeanor whether speaking to others in-person, over the phone, or via email
  • Ability to lead with grace, humor and accountability for self and others
  • A willingness to multitask and meet pertinent deadlines 
  • Advanced Google Workspace skills
