Job Description 

POSITION TITLE: HR Administrative Assistant - Kokomo

DIVISION: Administrative

SUPERVISOR: HR Senior Director;

CLASSIFICATION: Non-Exempt

PURPOSE:

The purpose of this position is to create positive employee engagement by recruiting the right candidate and improve relationships between employees and leaders. This position provides employment support to the Human Resources Department as well as to other departments within the agency. Perform clerical and office responsibilities. Assume responsibility for the order and completeness of the personnel files. Monitors and updates applicant tracking software.

KEY AREAS OF RESPONSIBILITY: 

  • Cultivate relationships with key community organizations, high schools, colleges, workforce development organizations and adult training centers.
  • Supports, trains, and monitors regional managers and team leads to develop competency in sourcing, interviewing, selecting, and retaining the right candidate. 
  • Meet the company and department goal for retention and filling open positions. 
  • Manage files for all current and former employees. Prepare files for scanning and electronically organize all Maintain and organize the scanned folder on the departmental shared drive. File and maintain all EEOC and I-9 forms.
  • Complete file audits for new hire paperwork and ensure that all paperwork has been completed. Enter all new hire information into Provide/Sage.
  • Perform filing and clerical duties, including, but not limited to taking minutes at meetings and tracking information. Sort, file and shred out of date material. Organize and appropriately direct the mail and interoffice mail in Human
  • Monitors and updates applicant
  • ESSENTIAL JOB FUNCTIONS:

  • Direct calls and take messages for Human Resources. Respond to inquiries from supervisors and employees and appropriately direct them.
  • Assist applicants completing applications in-person or via phone or through the applicant tracking software. Answer any questions regarding job postings from applicants.
  • Conduct pre-screen interviews with applicants. Schedule all regional interviews with the appropriate departmental Assist with scheduling interviews for other departments as needed.
  • Assist Human Resources staff members, and act as backup for general HR functions in the absence of the other HR staff members.
  • Respond to various departments/supervisor's questions regarding employee documents within the file.
  • Perform criminal background checks, as needed.
  • Assist with creating, organizing, and maintaining interdepartmental Answer employee questions regarding responsibilities, pay, or other issues regarding interdepartmental agreements.
  • Understands the company’s benefits and perks to use as a selling point with potential candidates and employees.
  • Collaborates with Lead R&R and social media to proactively develop a pool of qualified candidates in advance of need/opening.
  • Utilize reporting tools to document impact of recruiting and retention to assigned region.
  • Maintain open lines of communication to managers, supervisors, and the HR department.
  • Attend regional leadership meeting every month and use as a tool to discuss and update all open positions and discuss retention challenges and tools available.
  • Conducts stay and exit interviews and documents trends for retention impact.
  • Work independently as well as collaboratively in a micro team.
  • Provide a high level of customer service in a calm and professional manner.
  • Additional duties as required.
  • QUALIFICATIONS:

    Prefer one to two years of related experience and/or Minimum education high school diploma but prefer two (2) years’ experience in Human Resources and/or Recruiting.
