DC Water Candidate Experience site is Hiring an Executive Assistant, Senior (P&T) - (24-P&T-500000-141) Near Washington, DC

The intent of this job description is to provide a representative summary of the major duties and responsibilities performed by incumbent(s) in this job. Incumbent(s) may not be required to perform all duties in this description and incumbent(s) may be required to perform work-related tasks other than those specifically listed in this description. This job description is not a “contract” between the employee and the Authority. The job duties and essential functions may be changed at the discretion of the CEO/General Manager.

SUMMARY: 

The Executive Assistant, Senior (P&T) serves as the confidential Executive Assistant to the Chief People Officer and Executive Vice-President, People & Talent and the P&T Vice-Presidents of Labor & Compliance and Transformation & Operations (collectively P&T Leadership) by performing a variety of highly skilled administrative services to support the day-to-day operations of People & Talent. Ensures that highly confidential, complex, and sensitive matters are attended to, and determines the approach to be taken and the methodology to be used in supporting the directives of P&T Leadership. The position also serves as the point of contact between the P&T Leadership and other DC Water executives, employees, and other external stakeholders.

ESSENTIAL FUNCTIONS:

  • Maintains the calendar and schedule for P&T Leadership; receives and evaluates the nature of requests and determines priority, obtains appropriate input as needed, and follows through to schedule and arrange all details (researches and assembles/develops information and materials on a variety of matters).
  • Receives inquiries and complaints and provides information to P&T Leadership. May respond to the inquiries as directed by P&T Leadership by composing correspondence based upon independent research and compilation of data from files and records.
  • Plans, organizes, coordinates, promotes, and facilitates events for People & Talent. 
  • Attends meetings on behalf of P&T Leadership, gathers information, prepares, and provides accurate routine and ad hoc reports and documents as needed and/or directed by P&T Leadership. 
  • Independently reviews and resolves problems on P&T Leadership’s behalf as directed.
  • Reviews letters, memoranda, and other official DC Water documents prior to presentation to P&T Leadership for signature to ascertain correctness in form, style and message as well as ensuring that all concerned have had an opportunity to review the document.
  • Serves as the liaison between P&T Leadership and other departmental Executive Assistants.
  • Handles special assignments and works on projects to include providing communication and updates on project status, deadlines, and issues to ensure projects are delivered timely. 
  • Takes and disseminates minutes for meetings. Prepares highly sensitive and confidential regular and special reports.
  • Supports compliance within the team by tracking and ensuring P&T Leadership and staff completes required training and timesheets.
  • Performs other duties and projects as assigned at the discretion of P&T Leadership. 

Supervisory Responsibilities: N/A

Key Working Relationships: Interacts with Executive Staff Members and their staff, DC Water Board Members, high level officials from district government agencies and private organizations, other neighboring water/sewer utilities, external customers of the Authority, employees, and the public. Contacts are for the purpose of providing information, receiving, and exchanging information, resolving sensitive problems, and facilitating actions affecting People & Talent programs and services.

EDUCATION / EXPERIENCE & OTHER MINIMUM QUALIFICATIONS REQUIRED:

The minimum qualifications listed below are representative of the knowledge, skill, and ability necessary for an individual to perform each essential function satisfactorily. Reasonable amounts of training are provided.

  • Associate’s degree in Business or related field from an accredited college or university and five (5) to seven (7) years of progressive administrative assistant experience leading up to work that was in a senior administrative capacity or its equivalent, or an equivalent combination of education and experience. Bachelor's degree in Business or related field and three (3) to five (5) years of progressive administrative assistant experience leading up to work that was in a senior administrative capacity preferred.
  • Thorough knowledge of office procedures. 
  • Skill in communicating, orally and in writing.
  • Ability to create reports, documents, spreadsheets, and presentations using Microsoft Office.
  • Ability to use independent judgment and discretion and using initiative and resourcefulness in responding to new and unusual assignments.
  • Ability to work on projects and provide communication and updates on project status, deadlines, and issues to ensure projects are delivered timely. 
  • Skill in utilizing a computer and proficiency in applicable software programs in Microsoft Office.
