**Overview:**

We are seeking a detail-oriented and organized Office Assistant to join our team. The ideal candidate will provide administrative support and assist in daily office operations. This position is primarily focused on assisting in our accounting department.

**Duties:** Including but not limited to the following. Additional may be added or subtracted due to business needs.

- Manage office tasks such as filing, data entry, and organizing documents

- Assist in scheduling appointments and maintaining calendars

- Handle incoming calls and emails, providing excellent customer support

- Perform personal assistant duties for the Account Services Manager and the Corporate VP as needed

- Coordinate projects and ensure timely completion

- Transcribe meeting notes and other documentation

Accounting duties

  • Reconcile invoices and identify discrepancies
  • Create and update expense reports
  • Process reimbursement forms
  • Prepare bank deposits
  • Enter financial transactions into internal databases
  • Check spreadsheets for accuracy
  • Maintain digital and physical financial records
  • Issue invoices to customers and external partners, as needed
  • Review and file payroll documents
  • Participate in quarterly and annual audits

**Skills:**

- Hands-on experience with MS Excel and accounting software (e.g. QuickBooks)

- Familiarity with Microsoft 365 for document management

- Familiarity with finance regulations

- Strong customer support skills for interacting with clients

- Good math skills and the ability to spot numerical errors

- Knowledge of order entry systems for processing orders efficiently

- Previous experience as a an office assistant is beneficial and previous accounting experience is a plus

- Capable of project coordination to ensure tasks are completed on time

- Ability to transcribe meeting notes accurately

- Computer literacy with proficiency in Microsoft 365 suite

- Organization skills

- Ability to handle sensitive, confidential information

Pay: $17.50 - $18.00 per hour
