Medgar Evers College (MEC), a nationally recognized leader in urban-serving education, is one of twenty five colleges within the dynamic City University New York (CUNY) System. The Administrative Specialist will report to the Dean for the School of Professional Studies and Community Development (SPCD) and will assist in encouraging and facilitating matriculation into Medgar Evers College from Community Grant Programs and School of Professional and Community Development. Responsibilities will include participating in community outreach and services on behalf of a College and assist in defining program goals, objectives, risks, roles and responsibilities
The Administrative Executive Specialist will also be responsible for:
Overseeing day to day operations at the office of SPCD
Coordinating and facilitating the seamless flow of work between the School of Professional and community Development and the academic and administrative units of the college, and various other constituencies; serves as a liaison, monitors progress of projects, and briefs the Dean on the projects and activities as appropriate.
Assisting with the resolution of highly sensitive and confidential administrative matters.
Reviewing and editing written communications to ensure they reflect the proper message, tone and draft, and format correspondence related to areas of responsibility.
Working independently and as part of a team on the execution of on-and-off campus programs and events involving the School of Professional and Community Development.
Conducting research in response to the initiatives of the Dean of SPCD and to prepare relevant documents and materials.
Overseeing the Dean’s calendar by prioritizing and scheduling on and off campus meetings, speaking engagements, local and national and international travel while balancing demands on the Dean’s time and ensuring that the Dean is prepared for all activities.
Managing mail by responding to letters and inquiries from faculty, students and the public; provide information as appropriate and refer matters to other areas of the college as necessary; track referred items to completion
Facilitate the flow of information to and from the Office of Student Success as well as review and reply to correspondence as appropriate.
Researching issues of importance and sensitivity and gather briefing materials for the Dean.
Reviewing and evaluating work products, methods and meet with staff to identify and resolve problems.
QUALIFICATIONS
Bachelor's Degree and four years' relevant experience required.
Master's Degree Preferred

Provides support to a Campus or University Executive, organizing and supervising unit activities.
Creates appointment and meeting schedules, arranges meetings, and prepares for a variety of special events. Maintains an ongoing calendar of reports, deadlines, and key dates and incorporates these into a schedule.
Coordinates Executive communications, including those requiring a high degree of sensitivity. May respond to public inquiries as well as requests from within the Campus/University community.
Organizes, creates, and distributes key, complex management reports with a high degree of accuracy.
Organizes, manages, and tracks written and email correspondence, maintaining logs and records of follow-up activities.
Procures required internal and external resources and services and manages their utilization.
May supervise office staff, performing basic Human Resources functions such as recruiting and interviewing.
May perform related duties as assigned; may participate in special projects and efforts to improve unit effectiveness.
