Cornerstone Mortgage Group is Hiring an Executive Assistant Near Pensacola, FL

Executive Assistant Cornerstone Mortgage-Candidate must be able to start in Two weeks, and live in Pensacola, FL (not Milton, Gulf Breeze, Cantonment, Etc.)

Cornerstone Mortgage is are a team of trusted loan originators with a local reputation for integrity and customer service. Cornerstone has been serving Florida and Alabama in Residential purchases and refinances for over 15 years. As the Executive Assistant for a top producing LO (loan officer), you will play a critical role in supporting the team operations and ensuring the smooth functioning of various business-related tasks. Our team is dedicated to providing WOW service to our clients and referral partners, and your role as the Executive Assistant will be fundamental in helping the LO stay organized and run the gameplan.

A qualified candidate will be professional with at least three years of Executive or Administrative Assistance experience in most or all of the 10 responsibility areas listed below; an Associates or four year undergraduate degree. Real estate or related field experience a plus. Must be very client facing; extremely organized; high attention to detail, and an excellent communicator. Must be authorized to work in US without need for sponsorship.

We are looking for someone to grow with us and interested in long term tenure in what we believe is an amazing and fun culture. Not a position for someone who will be moving away from the Pensacola area

Pay ($40-50k) depending on experience.

Rich Medical benefits (employee paid): Eligibility for medical, dental, vision, and supplemental insurance, as well as a 401k retirement plan is subject to individual plan terms and conditions and any and all applicable waiting periods.

Eligible for 2 week’s vacation after 90 days.

Schedule-in person: 8-5 M-F- Daily with lunch break. NO WEEKENDS!

RESPONSIBILITIES:

1. Calendar Management:

  • Efficiently schedule all appointments for LO, ensuring his calendar is well-organized and up-to-date.
  • Monitor LO's email inbox, promptly responding to routine inquiries, and forwarding important messages as required to facilitate smooth communication.

2. Team Meetings and Content:

  • Take charge of scheduling team meetings and contribute to the preparation of meeting content or materials as needed

3. Financial Tasks:

  • Handle financial matters, including paying bills and completing expense reports in collaboration with the Office Coordinator, to maintain accurate financial records.

4. Call List Management:

  • Assist LO in managing his weekly call list.

5. Special Occasions and Gifting:

  • Manage birthday lists for referral partners, clients, and team members, ensuring they receive thoughtful birthday cards and gifts.

6. Event Support:

  • Successful execution of client and team events.
  • Assist in coordinating Change the Planet week and support philanthropic opportunities to demonstrate community involvement.

7. Vacation Requests and Scheduling:

  • Collect and submit all vacation requests to HR after Patrick's approval, maintaining accurate records of employee leave schedules.

8. Data Management and Reporting:

Implement the A, B, C's system:

  • Pull reports, compile essential statistics, and update LO's status sheet to ensure accurate documentation of critical data.

9. Payroll Submission and Financial Reporting:

  • Assist in timely and accurate payroll submission, ensuring team members are compensated correctly.

10. Marketing Responsibilities:

  • Collaborate with marketing assistant and LO on the plan and strategies to promote brand effectively through social media, videos, drip campaigns.
  • Create powerpoint presentations and flyers to support marketing efforts.
  • Monitor reviews on platforms like experience, google, and Zillow.
  • Manage our CRM for efficient task management.

Job Type: Full-time

Pay: $40,000.00 - $50,000.00 per year
