Job Overview:
We are seeking a highly organized and detail-oriented Office Manager to join our team.
This position will require someone with 3 skillsets:
1. Bookkeeping experience - Bank Recs, Credit Card Payments, Month End Close Outs, Financial Reporting, Paying Vendors and Managing all Aspects of the Company's Financials
2. Human Resources - Payroll, Managing Employee Time Off and Performance Reviews, Recruitment and Interviewing to place candidates, Updating Employee Handbook
3. Office Management - Ensuring our physical office space is clean, organized and well run, troubleshooting IT concerns, working directly with employees on miscellaneous office management duties throughout the week
As an Office Manager, you will be responsible for overseeing the day-to-day operations of our office, managing our accounting, human resources, administrative tasks, and supporting the team. This is a key role that requires strong organizational skills, the ability to multitask, and excellent communication skills.
Duties (Bookkeeping):
-Month end bank reconciliations
-Paying all vendors (checks, credit cards)
-Budgeting and month end financial close outs
-Supervising Accounts Receivable department to ensure accurate and timely work product
Duties (Human Resources):
-Payroll and employee attendance records
-Employee handbook updates
-Performance reviews with employees
-Recruitment of new team members, interviewing and screening
Duties (Office Management):
-Manage and oversee all administrative functions of the office
-Maintain office supplies and equipment inventory
- Supervise and provide guidance to administrative staff
- Ensure compliance with company policies and procedures
- Maintain confidentiality of sensitive information
- Assist with human resources tasks such as recruitment and onboarding
Requirements:
-3-5 years of experience as an Office Manager or in a similar role
-5 years of experience as a Bookkeeper / Controller
-3-5 years of payroll experience in processes and procedures
-Strong organizational and time management skills
-Excellent verbal and written communication skills
-Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
-Experience with team management and supervision
-Ability to prioritize tasks and meet deadlines
-Attention to detail and accuracy in work
-Knowledge of construction office management is a plus
