The firm is an established boutique integrated wealth management firm, located in Austin, TX. Our team is a fully in-person office. We support a multi-generational, Texas-based family including their business ventures, investments, a family foundation and related entities. This person will ultimately replace a long-time administration professional. We anticipate a smooth transition, with mentoring and training alongside the outgoing employee.

Who You Are::

We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to our entire team including three executives, investment manager, and finance/accounting manager. In addition to traditional executive assistant duties, this role will also involve managing insurance, light bookkeeping, and acting as the primary coordinator of our file storage and retention.

What You'll Do::
  • - Act as a primary point of contact and liaison between executives, clients, investors, vendors and other stakeholders, always demonstrating professionalism and confidentiality.
  • - Coordinate and prioritize incoming requests, emails, and phone calls, ensuring timely responses and follow-up as needed.
  • - Assist with preparing and editing documents, presentations, and reports for meetings and presentations.
  • - Oversee insurance matters, including policy renewals, claims processing, and maintaining accurate records.
  • - Process check and wire transfer requests, expense reports, and invoices in a timely and accurate manner, adhering to company policies and procedures.
  • - Serve as the primary coordinator of our Sharepoint files, ensuring documents and records are organized, up-to-date, and easily accessible.
  • - Implement and maintain record retention policies and procedures, ensuring compliance with regulatory requirements and industry standards.
  • - Manage calendars and scheduling for three executives, including arranging meetings, conference calls, and travel itineraries.
  • - Coordinate travel and meetings for executives (minimal travel requirements)
  • - Perform ancillary HR functions such as team building, I9 verification and holiday schedule
What You Bring::
  • - Bachelor's degree or equivalent experience preferred.
  • - Proven experience as an executive assistant or similar role, supporting multiple executives and managing complex administrative tasks.
  • - Strong organizational skills and attention to detail, with the ability to prioritize and multitask in a fast-paced environment.
  • - Excellent communication and interpersonal skills, with the ability to interact professionally with internal and external stakeholders.
  • - Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Sharepoint.
  • - Discretion and confidentiality when handling sensitive information and confidential matters.
  • - Professional demeanor and strong work ethic (pro-active and dependable)
