This Executive Assistant is a unique position to support the CEO; supporting multiple companies. This person will manage a wide range of administrative and executive related tasks as well as leading projects and initiatives in support of the CEO. This role requires operating with considerable autonomy and discretion, often working independently with little supervision. The individual must be exceedingly well organized and flexible, an expert at multi-tasking and possess the ability to interact with staff at all levels.
Job Duties:
· Providing administrative support for the CEO
· Maintaining multiple complexes, frequently changing calendars, including independent resolution of meeting conflicts.
· Scheduling and supporting on-and off-site meetings, video conferences and teleconferences and making necessary arrangements to set up meeting space, or potentially directing the staff on duties and decisions.
· Creating and/or compiling meeting materials including agendas, pre-read material, presentations, surveys and meeting summaries.
· Coordinating travel arrangements and complete subsequent expense reports
· Perform basic accounting functions such as paying invoices, and tracking budgets and spending.
· Lead meetings in the absence of the CEO
· Draft and prepare correspondence, presentations, and internal communications to support key business initiatives.
· Compose, proofread, monitor and respond to CEO emails, when necessary, prepare summary to CEO and follow-up actions for the supported leaders.
· Serve as liaison between CEO and Management/staff.
· Performs advanced, diversified, and confidential executive and administrative support and assistance requiring broad and comprehensive experience, skill and knowledge of organization policies and practices.
· Develop a high degree of business acumen and enterprise awareness to facilitate the ability to support executives.
· Support leadership meetings and division by coordinating the planning, agenda, and organizing/communicating event decisions.
· Responds to and resolves non-routine and compiles inquiries on behalf of the company.
· Utilize critical thinking and bringing forth recommendations for timely decision-making and execution.
· Manage the strong execution of select strategic projects that require cross-team collaboration which may include third party vendors.
· Provide support and build strong partnerships with the Managers within the different companies, understand how each team fits into the overall strategic vision of the CEO.

Requirements:
· 1 year as an executive administrative experience working with C-level executives.
· High school diploma required. Bachelor’s degree preferred.
