Work Schedule: Monday - Friday 8:00 a.m. - 4:30 p.m.; Flexible to be available for night and/or weekend meetings as required.
Job Summary

The Administrative Assistant is responsible for supporting the administrative functions for the Finance and Budget Offices, which includes but is not limited to data entry, scheduling meetings, drafting memos, compiling meeting minutes, assisting with coordination of departmental events, ordering supplies, preparing visual presentations and supporting the overall functions of the departments. This position requires exceptional organizational skills, flexibility to operate in a fast-paced environment and the ability to multitask.
Essential Duties and Responsibilities

  • Establishes and maintains effective working relationships with City officials, co-workers, and the general public.
  • Performs general office management tasks for the Finance and Budget Offices, including administrative, , clerical and office coordination duties.
  • Answers telephone and/or communicates information to City officials, other departments, and the general public.
  • Reads, sorts and distributes incoming mail, and prepares for outgoing delivery.
  • Assists with the preparation of the financial and budget reporting.
  • Schedules appointments, maintains calendars, sets up meetings for the departments.
  • Participates in special projects as requested and/or assigned.
  • Works with public and other departments in a fast-paced environment and handling a variety of tasks with conflicting priorities.
  • Works independently with a minimal amount of supervision.
  • Trains and assists all other City department personnel as needed.
  • Performs other duties as assigned.
Required Qualifications

QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. REQUIRED EDUCATION AND/OR EXPERIENCE:
  • High school diploma or general education degree (GED).
  • Two (2) years of administrative and/or business-related experience and/or training; or equivalent combination of education and experience.
REQUIRED CERTIFICATES AND/OR LICENSES:
  • Vehicle Operator's license with satisfactory driving record that meets insurability standards of the City's insurance carrier is required. The employee must maintain the license for the duration of their employment.
REQUIRED SKILLS (Communication/Language; Mathematical; Computer; etc.):
  • Intermediate knowledge and ability to use Microsoft Office software.
  • Ability to communicate effectively in a professional manner.
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
  • Ability to work independently with limited supervision.
  • Ability to maintain strict confidentiality.
  • Strong organizational and office management skills.
  • Ability to learn and teach new electronic systems and software.
OTHER DESIRABLES:
  • Experience providing administrative support to executive leadership teams and supporting multiple leaders.
  • Experience working within government.

While performing the duties of this job, the employee is regularly required to sit; use hands to fingers to complete daily work assignments, reach with hands/arms to file and move stock items. The employee must be able to communicate using the English language. The employee must occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
