  • We are hiring immediately for an SR EXECUTIVE ADMINISTRATIVE ASSISTANT position.
  • Address: Charlotte, NC. This role may allow for working in a hybrid capacity partly from home and partly in the office. Note: online applications accepted only.
  • Schedule: Full time; Monday through Friday, 8am - 5pm eastern time.
  • Details: The senior executive administrative assistant is responsible for supporting the executive assistant to the CEO by providing additional support for 3 executive team members.
  • Requirement: 3 years of administrative assistant experience preferably for executive-level leadership. 10% travel.
  • Pay Range: $25.20/hr. to $33.65/hr.
  • Vacation: 1st year up to15 days
  • Holidays: Up to 9 paid holidays per calendar year

Job Summary

Summary: As a Sr. Executive Administrative Assistant, you will provide high-level, confidential administrative support for executive leadership.

Essential Duties and Responsibilities:

  • Support the Executive Assistant to the CEO providing additional support to executive team members to ensure that company goals and objectives are accomplished and operations run efficiently.
  • Creates, maintains, and continuously improves internal processes that support the senior team, and coordinates resources to speed up workflows.
  • Manages communication with employees.
  • Plans and orchestrates work to ensure that priorities are met, organizational goals are achieved, and best practices are upheld.
  • Manages professional scheduling including agendas, mail, email, phone calls, client management, and other company logistics.
  • Coordinates complex scheduling and calendar management, as well as content and flow of information.
  • Manages and maintains travel logistics, executive's schedules, and activities, including accommodations, transportation, and meals.
  • Provides administration and office support.
  • Coordinates programs, events, and conferences as needed.
  • Organizes team comunications.
  • Prepares invoices, reports, memos, letters, financial statements, and other documents, using word processors, spreadsheets, databases, and/or presentation software.
  • Conserves executive's time by reading and analyzing incoming memos, submissions, and reports to determine their significance and plan their distribution.
  • Opens, sorts, and distributes incoming correspondence, including faxes, phone calls, and emails.
  • Files and retrieves corporate documents, records, and reports.
  • Prepares responses to correspondence containing routine inquiries.
  • Performs general office duties.
  • Prepares agendas and makes arrangements for meetings.
  • Performs other duties as assigned.

Qualifications:

  • 3 years of administrative support experience reporting directly to upper management, preferably for senior or executive leadership
  • Excellent calendar management skills, including coordinating complex executive meetings and scheduling travel arrangements for management
  • Highly proficient in Microsoft Suite including Excel, PowerPoint, and Outlook
  • Proficiency with office productivity tools and an aptitude for learning new software and systems
  • Ability to learn multiple company and industry-specific systems
  • Excellent written and verbal communication skills
  • Strong time management skills and ability to organize and coordinate multiple concurrent projects
  • Flexible team player, willing to adapt to changes and challenges
  • Associate's degree is preferred
  • Strong organization skills, disciplined, detail-oriented, flexible mindset, problem solver, systems thinker, customer service oriented, effective communicator across all levels of the organization
  • Models best practices and demonstrates a high bar
  • Able to make sound independent decisions using informed judgment and available information
