SUMMARY

Reporting to the Vice President of Human Resources, the Human Resources (HR) Administrator is responsible for providing process and transactional support for HR systems and processes to ensure the efficient operation of the Human Resources (HR) Department. This role will act as liaison between HR and other departments, administering daily functions including recruitment, onboarding, benefits, employee training and professional development. 

The successful candidate will have excellent communication, skills, business acumen, exemplary work ethic, be driven, organized, self-motivated, a skilled facilitator and problem solver. Ability to cross cultural boundaries to build and maintain strong working relationships. 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Act as a go-to HR professional for day-to-day employee questions, as well as respond to employees in a timely and accurate manner ensuring complete follow-through
  • Facilitates the hiring of qualified job applicants by administering all phases of the recruitment process including planning, sourcing, screening, and interviewing
  • Collaborates with department managers to identify the requirements for job openings and draft detailed and accurate job descriptions and hiring criteria
  • Identifies and implements efficient and effective recruiting methods and strategies based on the available role, industry standards, and the needs of the organization
  • Supports in scheduling interviews, preparation of interview questions and other hiring and selection materials
  • Conducts or acquires background checks and employee eligibility verifications
  • Provide exceptional customer service support to internal and external customers
  • Communicates company and position details to new hires prior to their start date and gathers necessary documentation including Form I-9, tax forms, direct deposit, etc.
  • Collaborate with departments in the administration of the onboarding program
  • Design and conduct HR orientation for new employees; onboard new employees in a welcoming way, ensuring they receive timely and accurate instruction regarding their employment and benefits
  • Develops and implements employee engagement and recognition programs
  • Assists with creation of company training programs by researching training needs, planning courses, organizing materials, and support in roll out of training
  • Maintains and reviews records of training and development activities, attendance, and assessment results. Documents and ensures compliance with mandatory and non-mandatory training requirements
  • Support data entry and review of related business processes, including hires, terminations, salary adjustments, and other confidential items
  • Organize, maintain and update employee records both physical and digital
  • Responsible for monitoring various HR inboxes and respond or escalate appropriately
  • Receives and provides basic navigation support for routine correspondence following established procedures (such as address changes, application support, background check corrections, and employee self-service support) 
  • Provide administrative support to the HR department including maintaining the department calendar, scheduling meetings, creating presentations and other materials, crafting and sending HR communications. 
  • Support administration of benefit plans, including enrollments, changes and terminations. Process required documents through payroll and insurance providers to ensure accurate record-keeping and proper deductions.
  • Compiles or assists with the acquisition of key HR metrics and data
  • Update HR reports as needed to provide accurate metrics to the business
  • Assist with leaves of absence tracking, including disability plan coordination
  • Assist with HR compliance matters and reporting requirements
  • Participate in various projects as needed
  • Other duties as assigned

QUALIFICATIONS

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

EDUCATION and EXPERIENCE

  • Bachelor Degree in Human Resources, Business, or a related field and/or equivalent education and experience
  • Minimum of two years in a Human Resources role in a professional environment
  • Demonstrated experience utilizing an HRIS system. Experience with Paylocity a plus
  • Working understanding of human resource principles, practices and procedures
  • Advanced office and computer skills that include rapid keyboarding skills and other office technology
  • Demonstrated advanced experience in organization and planning with the ability to multitask, prioritize and meet deadlines
  • Ability to gather and analyze information skillfully and exercise independent judgement with minimal supervision
  • Bilingual with proficiency in English and Spanish a plus

SKILLS REQUIREMENT

  • Advanced verbal and written communication, interpersonal and customer service skills
  • Advanced computer proficiency in Microsoft Office (Word, Excel, PowerPoint and Outlook)
  • Proficient in Google Suite, Zoom and/or other virtual meeting platforms
  • Excellent organizational skills 
  • Strong attention to detail with excellent follow up and follow through skills
  • Must have the ability to maintain confidentiality at all times when dealing with HIPPA, compensation and other HR and personnel matters 
  • Able to work independently and within a team framework
  • Ability to function well in a high-paced and at times stressful environment
  • Ability to work a flexible schedule 

PHYSICAL DEMANDS 

While performing the duties of this job, the employee is frequently required to sit; use hands to handle, feel and keyboard; reach with hands and arms; and talk or hear. The employee is occasionally required to stand; walk; stoop, kneel, or bend. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close and distance vision.

WORK ENVIRONMENT 

The position is located within the Charlotte Mecklenburg area. Regular and satisfactory attendance and punctuality are required. Regular and satisfactory performance including meeting all process deadlines and stated deliverables is required.
