Description

At the Durango-La Plata Communications Center, we are committed to providing customer-centric emergency services by demonstrating professionalism, empathy, and accuracy in every interaction to safeguard and serve our community. We're looking for an Administrative Analyst to join our dedicated team.
In this role, you’ll play a critical role in the smooth operation of our center. Working under the general supervision of the 911 Communications Administrative Manager, you’ll perform a wide range of administrative tasks, including budget monitoring, data management, records maintenance, and drafting reports. From processing citizen survey responses to assisting with new hire paperwork, you’ll ensure a positive experience for our community and new team members. Additionally, you’ll serve as the agency receptionist, providing high-quality customer service to the public, City staff, and outside organizations.

Essential Job Duties

What You’ll Do in This Role:

  • Assist with preparing and administering the department budget, including monitoring expenses, researching pricing or costs, and recommending adjustments.
  • Review and process purchasing card transactions, purchase requisitions/orders, and maintain financial records.
  • Maintain inventory and order departmental supplies.
  • Process accounts receivable and deliveries.
  • Monitor security gate for building access and greet visitors; uphold security protocols and maintain sign-in logs.
  • Manage incoming and outgoing mail, filing systems, and office and uniform supplies; coordinate office equipment servicing.
  • Prepare meeting agendas, packets, and minutes; disseminate information.
  • Maintain calendars for the department and director, coordinating activities with other city departments, client agencies, the public, and outside organizations.
  • Schedule travel arrangements and prepare travel documents for staff.
  • Coordinate reimbursement and process expense claims.
  • Serve as the department liaison by managing new employee paperwork, tracking leave and vacation time, maintaining personnel records, and processing payroll.
  • Create employment offer letters and maintain communication with new hires for pre-employment waivers and background information.
  • Compile and maintain official data and records; develop and implement new filing systems, purge outdated materials, and modify existing systems as needed.
  • Research and gather statistical and financial data used for planning and decision making.
  • Prepare reports, press releases, and legal notices, ensuring adherence to legal guidelines.
  • Respond to internal and external inquiries and concerns, directing them to appropriate staff as needed.
  • Conduct and coordinate monthly citizen surveys and communicate feedback data.
  • Receive office and telephone calls, provide front counter assistance, and schedule appointments.
  • Work with client agencies and courts regarding retrieval and dissemination of audio recordings.
  • Type, proofread, and compose correspondence related to assigned duties.
  • Interact with various officials regarding sensitive and confidential information.

Minimum Qualifications

You Have:

  • Equivalent to completion of high school or GED.
  • Minimum of three years previous experience in administrative support.
  • Minimum of two years of customer service experience.
  • Knowledge of modern office procedures, Microsoft Office Suite, record keeping, business communication, report preparation, and financial management.
  • Strong communication skills, both verbal and written.
  • Commitment to providing high-quality customer service and establishing positive relationships with those contacted in the course of work.
